Our Client is looking for Senior Viewings Officer to act as the lead officer in managing and improving the Repairs and Maintenance Service’s viewing process, ensuring effective delivery of pre-vacation inspections, maximising income through recharges, and supporting strategic improvements across the Lettings function.
Operational Leadership:
Serve as the principal contact for the Viewings Process within the Repairs and Maintenance Service.
Lead and manage all aspects of pre-vacation inspections, ensuring tenants understand responsibilities and mitigating avoidable void repair costs.
Supervise Lettings Technical Administrators, ensuring proactive tenant engagement and appointment coordination.
Oversee the preparation and maintenance of Lettings Packs in line with current policy and legislation.
Strategic and Technical Support:
Support the Lettings Manager with strategic advice and contribute to service improvement initiatives, including virtual viewings.
Provide high-level technical advice on missed revenue opportunities and contribute to income maximisation strategies.
Identify and mitigate potential fraud risks in the lettings process within the framework of corporate risk policies.
Cross-Team Collaboration & Resident Engagement:
Work with Tenancy, Voids, and Maintenance teams to ensure timely completion of remedial repairs.
Liaise with internal departments and external partners to manage and monitor pre-vacation and viewing appointments.
Support residents during transitions, providing practical advice on property condition standards, equipment use, and utility management.
Performance Monitoring & Reporting:
Maintain accurate records of inspections, repairs, and recharges, using systems like Northgate and DRS.
Provide performance reports to the Lettings Manager and Head of Customer Experience, highlighting trends, missed appointments, and system insights.
Feed into voids focus groups and contribute to the development of policy improvements.
Service Delivery & Compliance:
Assist in complaint resolution by providing factual investigation reports.
Use initiative and sound judgment to resolve service delivery issues, escalating complex cases when necessary.
Ensure all activity aligns with Council policies, including safeguarding, GDPR, customer service, equal opportunities, and health & safety.
Additional Duties:
Undertake ad-hoc assignments as directed by the Lettings Manager, Voids Manager, or Heads of Service.
Engage in learning and benchmarking exercises with other local authorities and housing associations.
Demonstrate and promote the Council’s staff values—commitment, respect, fairness, ownership, innovation, and collaboration.
Essential Requirements:
Experience: Significant experience in lettings, property inspections, tenancy management or repairs coordination.
Knowledge: Good understanding of voids management, recharge policies, lettable standards, and housing legislation.
Skills: Strong leadership, excellent communication, collaborative working, problem-solving, and IT proficiency.
