Administration/Finance AssistantSalary: ME5 Pt5 - £28,521 FTE (Pro rata salary £24,167)
Working Pattern: Full time – 35 Hours per week
Contract type: Term Time Only + Inset days
Reporting to: School Business ManagerMain Purpose The administrative/finance assistant is responsible for supporting with the administrative, financial and organisational processes within the busy school office. They will also act as the initial point of contact for parents, visitors and other stakeholders and so will be an ambassador for the school. General Administration/Finance Support • Reception duties; greeting parents, handling queries, receiving deliveries, and assisting visitors especially during the busy periods. To include controlling access to the school in line with the school’s safeguarding procedures, including signing-in visitors, checking identification as necessary, issuing passes and notifying them of safeguarding and safety procedures
• To respond promptly to all telephone calls in a courteous, effective and efficient manner, passing on information to relevant staff members as necessary
• Manage the main school email account. Responding to all queries in a time efficient manner and distributing emails to all relevant staff
• Sending school communications via Weduc (parent communication app)
• Contribute to the maintenance of School Information Management System (Bromcom)
• Assist with the organisation of Parent Evenings and school events
• To administer First Aid and medicine to pupils as required, in keeping with the School’s Policy and liaise with parents regarding sickness/injury (First Aid training provided if required)
• Assist in the organisation of school trips. Conferring with the Teachers on requirements: Booking/confirming venues, booking any necessary travel, ensuring all payments and consents received from parents
• Assist in organising the school photos, individual and classes
• Assist the School Business Manager with processing orders, invoices and payments
• Create and monitor school tour dates and attendance on Google Drive
• Manage in school medications for pupils, keeping records up to date and administering medication as required
• Maintain the central signing in system, Inventry. Creating groups, keeping class lists up to date and destination management
