Administrative Assistant – Fixed Term (Maternity Cover)
Location: Swineshead, Lincolnshire
An excellent opportunity has become available for an organised and proactive Administrative Assistant to join a well-regarded organisation based in Swineshead. This is a fixed-term one-year contract to cover maternity leave, offering a varied role within a supportive and professional team.
About the Role
Reporting to: Finance & Admin Director
Contract type: Fixed Term (12 months – Maternity Cover)
Working hours: The business operates a 74-hour, nine-day fortnight, meaning every other Friday is a day off. Flexible working hours are available within office operating times.
As an Administrative Assistant, you will play a key role in supporting senior leadership and ensuring the smooth running of office functions. This is a varied position that offers the chance to work closely with the CEO and Directors, contribute to high-level meetings, and engage with members of the public.
Key Responsibilities
• Prepare agendas and take minutes for Board and committee meetings
• Manage incoming telephone enquiries and direct or relay messages appropriately
• Greet and assist visitors at Reception
• Process payments from the public (both in-person and over the phone)
• Provide general administrative support to the team and office
• Draft professional correspondence and reports
• Sort, record, and distribute post and emails
• Support the planning and organisation of meetings and events
• Maintain digital and physical filing systems
• Monitor and order office supplies
• Coordinate maintenance for office equipment
• Offer administrative support to the CEO and three Directors as required
About You
We are looking for someone who is approachable, detail-oriented, and able to manage a range of tasks in a fast-paced environment. The ideal candidate will have:
• Experience in minute-taking for formal meetings
• Proficiency in Microsoft Office packages
• Strong communication skills – both written and verbal
• Ability to follow processes and meet deadlines with accuracy
• Confidence in dealing with members of the public and working collaboratively in a team
• A professional, discreet approach with a commitment to high standards of service
