Job Purpose:
To have finance and operations responsibility for The Maelor School
To monitor financial performance compared to budget and prepare monthly management accounts for the Headteacher and Governing Body
To prepare the annual budget for the school
To oversee the day-to-day financial operations of the school as well as line management of the Facilities Manager, Catering Manager, Network Manager, Finance staff and Reprographics. Principal Duties and Responsibilities:
Finance
Provide management of the schools’ finances – working closely with the Headteacher to enable the school to achieve its educational aims
Take responsibility for the annual budget: developing, setting and monitoring the annual budget including departmental budgets and trip finances
To produce monthly management accounts to the specification laid out by the Governing Body and monitor the school’s finances & contracts, authorising orders within delegated powers and ensuring reconciliations are carried out regularly, ensuring compliance and value for money
Support budget holders with timely provision of accurate budget monitoring reports.
Identify and inform the Headteacher and Governing Body of the cause of significant variances budget and take prompt corrective action
Assist with the audit process and provide the necessary information required of the auditors for the school
Ensure that effective credit controls are in place in respect of income, e.g., catering, lettings
Ensure all appropriate funding is applied for/claimed/received
Oversee the lettings contracts with the school and explore opportunities to increase the commercial revenue of the school
To review the monthly payroll and provide variance analysis to the Headteacher, have oversight of the accuracy of payroll with reference to the budget/known changes
Ensure timely and accurate processing of income and expenditure on the accounting system
Monitor the application of grants and payments to pupils in line with funding guidance
Health & Safety
To monitor & implement the Health & Safety Policy including all Risk Assessment procedures and ensure compliance with regulations
To advise The Maelor School staff on H&S as appropriate
To report to the Headteacher on Health & Safety matters
To take charge of Health & Safety throughout the school including emergency procedures, fire safety and school lockdown procedures
Monitor and oversee compliance of the school, liaising with external when required
To provide any required updates on H&S to the GB if required in line with the scheme of delegation
To report any notifiable incidents for the school
Senior Leadership
Attend weekly SLT meetings
Oversee and monitor the appraisals of all school support staff making recommendations on annual pay progression to the Headteacher
Be the SLT lead for school policies and website compliance
Premises
To line manage the Facilities Manager and have oversight of all facilities related matters alongside the Site Manager including:
The overall management, security and maintenance of the buildings, facilities, grounds, fabric and furnishings of the school
Ensuring the appropriate placing and monitoring of all service contracts including cleaning
When required, deal with external agencies delivering services to the school, and deal with aspects of tendering, including compulsory, competitive tendering alongside the Facilities Manager where necessary
Purchase, repair and maintenance of all furniture, equipment and fittings o To ensure the Facilities Manager monitors the work of on-site contractors, caretakers and cleaning staff and arrange for estimates for work.
To liaise with insurers, providing necessary information, and administering insurance claims o To liaise with WCBC as necessary on premises related matters
To meet with the Headteacher to provide and update on the current condition of the school and premises priorities
To oversee the project management of small-scale capital projects within the school o Act as the school point of contact/liaison with external project managers on large-scale capital projects
Catering
To line-manage the Catering Manager and have oversight of all catering related matters
To support the Catering Manager with personnel issues in respect of catering staff, as necessary.
To monitor the catering function in terms of finance, facilities, resources. To manage the school cashless catering service.
Prepare catering trading accounts for the canteen and report canteen accounts monthly to the Headteacher
Human Resources Management
Work with, and provide information to Headteacher on all aspects of HR management e.g. performance (inc probationary periods), capability, training and development, attendance management, cover arrangements, conditions of service, recruitment, employment legislation etc
Work with, and provide information to, the Headteacher on staffing levels and resourcing of teaching
Maintenance of the Single Central Record
Ensure that all pre-employment checks are carried out
Maintain confidential staff records, both personal files and digital records General
Comply with policies and procedures relating to child protection, health, safety and security confidentiality, and data protection, reporting all concerns to an appropriate person
To be responsible for their own Professional Development maintenance and updating knowledge and awareness through Continuing Professional Development
Contribute to the overall ethos/work/aims of the school Develop constructive relationships and communicate with other agencies/professionals

Pay: £44,711.00-£47,754.00 per year
