Crynodeb
Administrative Officers carry out a variety of general administrative duties to progress cases through the court or provide support to other functions within the Scottish Courts and Tribunals Service.
The contracts available are:
1x Full Time Permanent
1x Full Time Fixed Term for 5 months with the possibility of extension thereafter.
The Key Responsibilities:
To undertake a number of general administrative duties including:
Prepare granting of confirmation, certificates and extracts within 3 working days of acceptance;
To process all Dative Petitions ensuring they are published on the Walls of Court and thereafter grant same;
Producing court documents;
Dealing with numerical calculations;
Accounting for monies in accordance with financial guidelines;
Preparing files for court hearings;
Attend at public counter, deal with telephone queries and assists with duties as allocated by supervisors and to deliver a high quality service to all customers in line with the Courts Charter;
General photocopying and filing;
Deal with correspondence/enquires from justice partners and solicitors;
Deal with other incoming mail as appropriate by post, DX, Email or on the ICMS portal;
Processing and distributing incoming mail to colleagues which comprises of writs, summonses, simplified divorces, enquiries and other documents when opening mail ensuring that documents are date stamped;
Taking action to resolve any comments or complaints where possible before referring to Line Manager;
Creating and updating records on our in-house computer system and data input;
Undertake light portering duties as required.
Additionally you:
Will have regular contact with court users, including members of the Judiciary and the legal profession. As such, you be required to competently answer queries giving consistent and reliable advice;
Work within a team with regular management support and will be responsible for your own time management;
Assist with preparing statistical information and other returns to ensure standards of work meet the agreed level;
Assist in clearing up of civil courts by preparing court interlocutors/orders, issuing letters, assigning future dates and filing papers as necessary;
Assist in clearing up of criminal courts by preparing court minutes, issuing letters, ordering reports and filing complaints as necessary;
Process and enter fines payments onto computer system and provide excellent customer service;
Will provide administrative assistance at the other Borders Court location (Selkirk) from time to time.
