Summary

The Immunisation Administrative Support enables the nursing and HCA staff to provide an effective, efficient and caring service to the School Immunisation Service by supporting sessions in primary schools and ensuring the provision of high quality patient service within a safe, efficient working environment.

They will undertake all clerical and administration duties applicable to the Immunisation Service and work collaboratively with the Nursing Immunisation Team to meet the needs of the service, following policy and procedures.

Team Working

• To undertake duties as necessary, in line with the changing needs of the company;
• Acts in a way that acknowledge individuals rights to make their own decision and recognise their responsibilities;
• Alert other team members to issues of quality and risk;
• Work effectively with individuals in other agencies to meet patient’s needs;
• Contribute to the effectiveness of the team by reflecting on own and team
activities and making suggestions on ways to improve and enhance the team’s
performance.
• General housekeeping of the office and management of deliveries and
supplies to support contracts. Some manual handling may be required, in line
with our Moving and Handling policy. Mandatory training on Manual Handling
is required.

Communication

• The Administrative support will communicate effectively with other team members, in a pleasant and friendly manner;
• The Administrative support will communicate effectively with patients, parents, carers and teachers, recognising the needs for alternative methods of communication.


Managing information

• Work in accordance with GDPR policy. Have knowledge of and be compliant with procedures;
• Ensure all patient records are clear and recorded accurately and stored as per procedures;
• Maintain confidentiality of information relating to patients, relatives and staff;
• Understand the responsibility of self and others regarding the Freedom of Information Act.


Management of risk

• Understand and apply the principles of the cold chain;
• Ensure safe storage, rotation and disposal of vaccines and drugs within area of responsibility;
• Be aware of statutory child health procedures, and statutory local guidance and referral criteria;
• Know the health and safety policies and procedures within the workplace, including fire procedures, maintaining documentation, monitoring and maintaining of equipment within your area of responsibility;
• Be able to identify the risks to health of microbiological and chemical hazards within the working environment according to the Control of Substances Hazardous to Health.


Learning and Development

• Undertake all mandatory and statutory training requirements;
• Be responsible for own learning needs and continuing professional development.

Health and Safety
• The post holder is required to take reasonable care for the health and safety of themselves and other persons who may be affected by their acts or omissions at work.
