The Role:

The Booking and Scheduling Assistant is an important role within the organisation to support the effective planning, booking and
scheduling of internal and external events for learners, staff and other stakeholders where required. In this customer facing role
you will support the coordination and administration of teaching and learning sessions, reminding learners of planned attendance,
liaising with learners and employers to rebook cancelled group sessions, support with End Point Assessment bookings and
maintaining the online e-portfolio system with relevant data.

You will be working with the wider Operational team to deal with learner and internal staff booking requests, issue booking
confirmations, maintain and report on attendance, in line with service level agreements (SLA’s). The role will include the
development and maintenance of session timetables using the online booking platform, through the dedicated system.

In this remote role it is essential that clear lines of communication are maintained within the team and with wider stakeholders
as and when required where required. This role requires a disciplined and thorough approach with keen attention to detail paid to
all tasks. The person needs to be confident when liaising with learners and stakeholders including in written format and on the
telephone or remote video conferencing tools.

Occasion travel to head office will be required including attending team and organisational meetings and events.

Duties:

* Provide administrative support to the team in line with bookings, schedules and attendance records, updating internal systems
in a timely manner.
* Handling bookings enquiries via email, phone and planners, recording and updating information accurately
* Processing bookings using operating systems in accordance with policies and procedures.
* Maintain and update accurate learner information on the internal systems according to the team SLA’s.
* Ensure a high level of customer service to all bookers and potential bookers, including providing clear, concise, accurate and
up-to-date information.
* Be a key point of contact for the bookings team, liaising across departments such as Operations.
* Maintain the Booking and Scheduling email inbox, responding as required and filing emails accurately.
* Communicate with all relevant parties on projected bookings, scheduled events, learner cancellations and/or feedback, following
up on any actions required.
* Create and provide reports to managers and stakeholders as and when required
* Responding promptly and professionally to feedback, comments, and complaints.
* Perform any other reasonable duties required by the businesses and management

About you:

Essential

* Competent user of Microsoft Office applications (especially SharePoint, Outlook, Word, Teams and Excel)
* Math’s & English GCSE, grade D or above
* Exceptional attention to detail and accuracy
* Ability to use problem-solving, solution driven and analytical skills and techniques
* Willingness to learn and adapt to new processes
* Strong planning, prioritising and organisational skills
* Ability to multitask and use initiative
* Excellent customer service skills
* Effective communication skills, with a high standard of written and spoken English
* Interpersonal skills – managing relationships at all levels internal and external to the organisation

* Strong internet connection with the ability to work from home
* Able to attend Head Office as and when required



Desirable

* An understanding of, and knowledge of the apprenticeship market or experience of working with external bodies such as external
quality assurance bodies.
* Experience of Aptem (e-portfolio) systems
* Awareness of or willingness to learn about Ofsted, Accountability framework and ESFA funding rules
* Experience of operating in a paperless environment
* Experience of working within a team in a changing environment and frequently under pressure
