Crynodeb
To assist and be trained in the following.
Answering the phone and fielding calls to the appropriate staff members, sheltering them from nuisance calls.
Meet and greet customers and guests in a friendly and polite manner.
Sort the post giving the information to each staff member.
Keep track of the office diary, ie upcoming events and meetings.
Produce letters, purchase orders, invoices, order acknowledgements and other administration requirements.
Regularly update the WIP, invoice book, letter book, job book, training matrix, holiday spreadsheet, purchase order sheet.
General filing, photocopying, scanning, and email duties.
Keep an up-to-date record of staff holidays and days off.
Ensure all company vehicles are up to date with Tax, MOT and insurance.
Update the job book with all relevant details and note whether the job is won or lost. Once the job has been won update all relevant information.
Manage the stationery requirements and place orders when necessary.
Assist the MD with all necessary aspects of administration duties.
Assist the Office Manager in all aspects of administration duties.
Assist other staff with administration requirements.
To raise purchase orders as and when instructed by members of staff.
To regularly record and update all personnel information.
To maintain the petty cash book and ensure all moneys spent is entered into the book and a receipt is provided.
Recycle all unwanted paperwork, shred vital information as appropriate.
To update electronic and hard copies of the IMS with additions and amendments as requested by Deputies and Management Representative
