Summary
We are looking for an enthusiastic and motivated individual to join the Scotland Office’s Constitutional Policy Division as a Business and Policy Support Officer (at EO or equivalent level). This role will also involve providing diary management and corporate support to a senior civil servant. We will operate a 12 month reserve list for similar EO roles which may arise in the Scotland Office, such as Private Office.

It ensures Scottish interests are fully and effectively represented at the heart of the UK Government, and the UK Government’s responsibilities are fully and effectively represented in Scotland.

Job overview and role specification:
This rewarding role offers the opportunity to be part of an established team to support the development and delivery of key government policies in respect of Scotland. The successful candidate will provide essential business and corporate support across the three teams that comprise the Constitutional Policy Division. The successful candidate will also work with individuals, teams and divisions from across the Scotland Office to help coordinate policy positions and set direction; track and monitor projects and key milestones/deliverables, whilst supporting a senior civil servant by providing direct diary management.
This post provides an excellent opportunity to develop policy-making and strategic coordination skills in a supportive and innovative environment. The successful candidate will need to be assertive and confident in their ability to prioritise a busy workload and work collaboratively with colleagues at all levels. The successful candidate will possess strong communication skills, sound judgement, and hold an interest in project/portfolio management, devolution and public policy.

Role responsibilities:
Key responsibilities and duties will include:
Effective diary management and corporate support for the Deputy Director for Constitutional Policy. This includes responsibility for organising meetings, liaising with external stakeholders, monitoring workloads, communicating decisions and making travel arrangements (when required).
Managing and maintaining a number of divisional trackers to help ensure the timely and effective delivery of key policy projects.
Support the drafting of cross government correspondence, responding to Freedom of Information requests and Parliamentary Questions.
Providing additional support for colleagues across the division around policy work related to Ministerial priorities for Scotland.
Building and maintaining effective working relationships with key teams and divisions across the Scotland Office to help maintain awareness of key policies, projects and workstreams.
Providing logistical and corporate support for divisional meetings, including room bookings and the circulation of papers.
Dealing with sensitive content; the successful candidate will need to be able to handle matters with discretion and awareness of security guidelines, as well as data protection functions for the office.
SKILLS:
Essential:
Possess excellent organisational skills.
Strong written and verbal communication skills
The ability to form collaborative working relationships with colleagues across multiple teams.
The ability to monitor and keep track of multiple projects simultaneously.
Have excellent IT skills.
Be able to maintain productivity under pressure and shift priorities quickly and effectively.
Desirable
A knowledge of and interest in Scottish politics and devolution.
Experience working in policy development or in policy delivery.
Have project or portfolio management experience.
ROLE LOCATION:
The successful candidate will be based in London (Dover House). Please note that the role will however require occasional travel to Edinburgh (Queen Elizabeth House) in order to attend key meetings and deliver on the role’s requirements.
