Are you a first class administrator with excellent organisational, prioritisation and customer service skills? If so, we're looking for you!

With an annual spend of £2m-£3m, Thanet District Council’s Disabled Facilities Grants’ Team administers government grants (or DFGs) that help people with disabilities who qualify for them, making their homes accessible and more suitable for their needs.

We need someone adept in overseeing our key projects who can maintain our written records and handle enquiries about the grants and work under their own initiative.

As well as helping the Council meet its legal obligation, you’ll be joining a team on top of its game. A recent internal audit assessed the service as having substantial assurance with no scope for improvement.

Ideally, you’ll have some knowledge of the DFG process or be able to pick this up very quickly, as well as demonstrable experience of accurately recording information and excellent written and oral communication skills. Words and numbers will be your forte.

You’ll be used to working in a busy office environment, preferably housing based, maintaining databases and spreadsheets and inputting into the design of appropriate methods of recording information.

Your strong customer service skills will also mean you are confident responding to customers by email, on the phone or in person and you will be able to resolve difficult conversations when they occasionally arise.

Principal responsibilities

Provide administrative and clerical support including, minute taking, processing letters, faxes, memos, grant/loan applications and other such paperwork.
Filing of paperwork as and when required including preparing files/paperwork for scanning, indexing and quality checking
Answer telephone calls and enquiries promptly and courteously and provide appropriate advice where possible.
Receive and distribute incoming post, including the recording of correspondence that requires a response such as complaints and grant paperwork etc.
Be responsible for ensuring that grant and loan payments are processed and passed to finance within 28 days.
Maintain all records relating to Disabled Facilities Grants.
Maintain stationary stores and order in stock from the council’s central supplies unit when required.
Support the organisation of events as they arise.
Use and keep up to date specialist software packages for the team and provide expert support to other members of the team.
Record and monitor performance indicators for the team and run reports when requested
Assist in the processing of disabled facilities grants, other loans and grants, and any other applications that may be introduced.
Use the council’s financial management computer system to place orders and track their progress.
To carry out other such duties commensurate with the grade and character of the post.
