Summary


To provide and co-ordinate administrative support to the Wheelchair Repair and Service team in Cheltenham.


The post holderis responsible forliaising withpatients,carers and relatives for the repair and service ofwheelchairmobility aids; as well asassistingin the allocation and coordination of daily workloads. The successful post holder will also share in team activities such ascontrolling stock, monitoring andallocatingwheelchairs and related accessory stock; alsoassistingin stock control systems.

The post holder will work with the team,patientsand their carers to ensure the delivery of the repairs service and collection of goods and accessoriesin a timely manner.

• Liaising via the telephone with patients,carersand care professionals for the delivery of repairs services, co-ordinating relevant paperwork.

• Completing works orders and associated notes toclose downcompleted jobs ina timelyfashion.

• Coordinating workload and jobs forFieldServiceEngineers.

• Maintaining and develop efficient goods inwards control, including incoming inspection.

• Liaise with service management to develop effective management information reporting systems for all aspects of stock control, stock movements, slow moving or obsolete stock identification and other reports tofacilitateoptimumstock usage within contractual requirements.

• Make full use of computerised stock control and other systems to update records andmaintainpatient details.

• Comply withservice requirements of theBCEQuality Management Systems and Southmead Health Services Trust wide policies and procedures.

• Undertake such other reasonable duties,appropriate tothe grade, as agreed between the post holder and manager from time to time.

• This job description will bereviewed periodically,in the light of experience and according to changing service needs.

• Very infrequent exposure to verbal aggression via the telephone from patients, carers, relatives, outside agencies and professionals, usually related to their frustrations withservice-relatedissues or delays in accessing appointments and equipment delivery.

• Frequent exposure to VDU work.

• Some physical activity – selecting stock, lifting, carrying.

• Ensuring that all tasks are completed ina timely,accuratemanner under pressure


The successful post holder will be responsible for handling inbound and outbound calls frompatients, carersand care professionals regarding the repairs of service user wheelchairs, co-ordinating relevant paperwork.

You will complete works orders and associated notes to completed jobs ina timelyfashion. This will be in conjunction with co-ordinating the workload and jobs for FieldServiceEngineers.

To ensure efficiency and patient satisfaction, it will be important to maintain an efficient goods inwards control, including incoming inspection.
