Job description
Receptionist/Typist

Main purpose of the job:
To provide a courteous and efficient service on switchboard and reception
To assist with typing and administration support to the fee earners

Responsible to the directors.

Main key areas
To answer the telephones in a professional manner and ensure that messages are recorded correctly and delivered efficiently.
To ensure that the firm’s telephone log is maintained up to date
Greeting clients visiting the office and if required, notifying the relevant fee earner/secretary of the clients’ arrival.
Receiving incoming emails sent to the firm’s general email address and website enquiries and forwarding them without delay to the appropriate fee earner
Provides general administrative support as required
Ensures that post procedures for incoming, outgoing and internal are followed.
Ensures that audio and copying typing is completed accurately and effectively.
Undertakes other ad hoc administrative duties as required to assist the firm
Takes payment of invoices/disbursements by credit and debit card.
Person specification

Qualifications:
5 GCSE at grade C or above, including English. Relevant work experience can be considered as an alternative

Experience:
Experience in a reception role - essential
Experience of audio/copy typing - essential
Experience of working in a law firm - desirable
Experience of using a case management system - desirable
Experience of legal terminology and typing legal documents - desirable

Knowledge and skills:
Good standard of computer literacy - essential
Excellent literacy and spelling - essential
Excellent communication skills at all levels, both face to face and over the telephone - essential
Excellent accuracy and attention to detail at all times - essential
Organisational/time management skills - essential
Awareness of the work undertaken by a solicitors office - desirable
