Job Title: Office Administrative Assistant
Job Description: The successful candidate will be responsible for the day-to-day administration of the business by handling a variety of tasks to ensure the efficient operation of the office.
Responsibilities:
1. Answer phone calls and emails from customers and suppliers, take bookings and answer basic enquiries
2. Organize and schedule appointments, liaise with engineers
3. Write and distribute emails, memos, letters, and forms, and manage the customer reminder programme
4. Write up invoices and quotations on the accounting software
5. Develop and maintain the office archives and filing system
6. Order office supplies and research new deals and suppliers
7. Update company social media pages
8. Work alongside the company health and safety officer to help write and review company risk assessments and provide safety training to employees
9. Maintain records of health and safety inspections, training, and incidents
Requirements:
1. Proven experience as an administrative assistant or relevant role
2. Proficient in Microsoft Office Suite particulars Word and Excel. Experience of accounting software Xero (or similar) would be desirable
3. Excellent time management skills and the ability to prioritize work
4. Attention to detail and problem-solving skills
5. Excellent written and verbal communication skills and interpersonal skills
6. Knowledge of relevant health and safety regulations would be desirable but not essential
7. Ability to work under own initiative as well as part of a team
