An exciting opportunity has arisen to work within the Medical Education & Dental teams at St Bartholomew’s Hospital (SBH) and The Royal London (RLH), part of the Education Academy at Barts Health Trust.

The post holder will be the first point of contact for trainees and medical students thatare placed at St Bartholomew’s and The Royal London. Working closely with the Medical Education Managers, Medical Education Coordinator, Director of Medical Education, Undergraduate Associate Dean and Simulation & Clinical Skills Team, you will help with the delivery of Medical Education & Dental courses.

We arelooking for someone who is highly organised andgood at building relationships with staff across the Trust. The successful candidate will be conscientious, proactive and keen to learn.

The Medical Education team are required to ensure that Barts Health meets the contractual requirements of its commissioners, Health Education England, and maintain the high quality standards for education and training as expected of the trust. This incorporates medical education and training from Undergraduate through to higher training specialty programmes and faculty development.

The post holder will:

• Provide admin support to all Medical Education and Dental Programmes delivered at SBH. To provide cross cover for the joint programmes run with the RLH.

• Provide cross cover for the joint programmes run with the RLH.

• Administrative support as required to underpin the quality framework, for internal and external requirements.

• Be the main point of contact for medical and dental undergraduates and trainees on site

• The post holder will also provide admin support in the preparation and administration of teaching programmes, inductions and course bookings.

• Manage stationery & supply orders, maintenance and requisitions

Medical/Dental Undergraduate Programmes

· Administration of all undergraduate placements at SBH and where appropriate the joint programmes with RLH – this includes the allocation of medical and dental students, arranging the appropriate induction to the site.

· Liaising with firm leads to arrange the undergraduate timetable

· Engage with appropriate systems to record student progress

· Regular reporting of attendance to the medical school.

· Work in partnership with the RLH and SBH Undergraduate coordinator in the organisation of programmes

· Attendance at Medical School meetings – relaying information to the team.

· Collect evaluation of programmes, collate and circulate where appropriate to help improve the quality of UG programmes

· Send out reporting instructions to medical students in a timely fashion

· Keep up to date with course requirements and developments

Foundation/Dental/Postgraduate Programmes

· Maintain a record of attendance for teaching

· Assign Clinical Supervisors to Trainees for their placements and local inductions

· Support Training Programme Directors with the organisation of ARCPs (Annual Review of Competency Progression) including panel members.

· Keep up to date mailing list for trainee posts using relevant systems.

· Maintain up to date records and contact details of clinical and educational supervisors.

· Provision of ePortfolio support to trainees

· Arrange and support the trainee forums, local faculty groups (LFGs) education committee any other meeting that is relevant to Medical Education as directed by the Medical and Dental Education Managers. Take minutes/notes at the meetings and highlight actions and updates.

Dental Programmes Support

· Organise Dental Core Training (DCT) Teaching programme liaising with the Deputy Director of Dental Education (DDDE) and relevant speakers, booking rooms and informing trainees.

· Support the DCT Local Faculty Group (LFG) and other Dental Specialty LFGs where needed.

· Organise the week-long DCT Local Induction with the DDDE.

· Supporting with the Dental mailbox

· To be responsible for data input re the service attendance records and booking registers and maintaining course information, safekeeping of course registers, evaluation forms and course content information.

· To assist the co-ordinator in creating promotional materials including posters and flyers for internal/external courses and to assist her in advertising these courses and liaising with Trust staff and PCT/community staff regularly regarding training sessions.

· To assist with workload generally as the Co-ordinator may request, including assisting with hospitality on internal/external courses, i.e. organising catering for such events as required.

· To liaise with finance and procurement as required. Manage stationery & supply orders, maintenance and requisitions

Quality and Development

· Develop online surveys for education quality purposes & service improvement

· Work with MDEM & DME in producing reports from surveys for various meetings

· Support for ensuring all trainees engage in feedback processes and mechanisms.

Information Systems

· Create and manage posts for all trainees on relevant ePortfolios

· Maintain and update mailing lists and databases for contact of all medical and dental staff at SBH and RLH

Arrange and plan multi-agency events

· Assist in the administration and organisation of monthly Junior Doctor Induction.

· Assist in the organisation of the Grand Round term programme including, booking venue, arranging speakers and distributing programme.

· Support for the local organisation and preparation for all quality and regulatory visits

· Support for arranging faculty development training activities and lectures for all medical and dental staff.

Communication and Liaison

· Type and process correspondence, reports, letters and other document as requested using the current IT computer packages

· Build effective relationships with all service users

Medical Education Team Support

· Where required provide cover for annual/sick leave and other absence to medical education team(s) across the trust

· Provide admin support to the Medical Education Manager, the Director of Medical Education and other management and team members as directed

· Provide admin support for ad hoc visits and events
