To assist the Senior Partner and Business Manager with day to day administrative tasks associated with managing the Practice To book any internal and external meetings for the Partners and BM To manage the calendar of the SP/BM To track and ensure completion of all ICB requests in a timely manner that come into the practice and send these off once completed. To prepare agendas and take formal minutes and actions for meetings as required by SP and BM To assist, organise and co-ordinate PLT days and other internal events Monitoring of action trackers to ensure actions are completed in timely manner escalating overdue to the Business Manager Lead and assist with ad-hoc projects and tasks as and when required Ad-hoc administrative duties as and when required To complete monthly and bi-monthly reports and tasks To act as a resource for external / internal enquiries and liaises with the BM and Departmental Leads. Resolves day to day problems independently and supports, facilitates and monitors progress of the projects by maintaining files, resources and assisting in project planning and manages elements of the project. To contribute to the successful delivery of highly complex projects to agreed timescales, defined standards and quality expectations. To co-ordinate formal and complex meetings, including preparation of project board agendas, minutes, reports and hospitality. To draft letters and responses on behalf of the Practice team and produce accurate letters, minutes, reports and presentation work as required. Multi-task and plan work for short, medium and long term timescales. Plan and organise sometimes complex activities requiring adjustments to be made e.g. resolve conflicting diary appointments and arrange meetings with a number of participants with complex diaries. To receive visitors and organise hospitality as required. Assist with any investigations or Freedom of Information Act requests as and when required. To set up and manage information systems applying some level of analysis against agreed criteria and assists in the preparation of reports and newsletters etc. Chases progress where information is lacking. To provide a comprehensive administrative and project support service to the Operations team. Manage the smooth and efficient running of the team on a day to day basis. To deal efficiently with all correspondence, monitoring telephone enquiries, answering queries and quickly providing information, as appropriate. To update staff HR records & facilitate recruitment
