Producing and Artistic Director Assistant
Job Description
Responsible to: Senior Producer
Working closely with: Artistic Director, Executive Directors, Producers, Creative Hub team
Key responsibilities
Assistant to the Artistic Director (AD)*
• Manage the AD’s diary, scheduling internal and external meetings in a reactive, realistic and responsible way, and ensure that their schedule responds to changes
• Support the AD with forward planning of diary management to ensure that priorities are met
• Pro-actively support key follow-up and actions from the AD’s meetings
• Respond to the changing daily needs and priorities of the AD and Executive office, supporting the AD with any personal, administrative tasks as required to effectively deliver their role
• Support the AD’s personal access needs on a day-to-day basis, including accompanying them to meetings, events and hospitality, in and around the Unicorn Theatre and offsite meetings.
• Managing travel arrangements, joining the AD as needed to provide support, including some national and international travel
• Maintain strict confidentiality, tact and discretion around all organisation, HR and production related conversations and information gathered in the Assistant to the AD capacity.
• Track and process the AD’s company credit card including coding payments, collecting receipts, and submitting through finance systems
• Complete applications for personal visas on behalf of the AD and ensure all documentation is clear and up to date
• Source and book all accommodation for trips for the AD, within budget and schedule
Producing
• Coordinate planning meetings with Artists and the Producing team
• Support recruitment of artists by checking and communicating availability, drafting contracts for review and filing contracts on completion
• Support the casting process, checking availability of actors, scheduling meetings, supporting the audition process and drafting contracts
• Lead on coordinating and sharing documentation for regular internal Artistic Planning meetings
• Organise travel and arranging accommodation as necessary for artists
• Ensure all new starter paperwork, equal opportunities forms are completed and returned at the start of each Production
• Financial administration, processing invoices and updating budgets
• Supporting the planning and delivery of Research and Development workshops
• Attend meetings including taking minutes
• Attend relevant events with external partners to represent the Unicorn
• Attend relevant training opportunities
• Offer internal or external support on all areas of Producing as required to ensure the smooth running of productions
• Collate up to date contact lists for cast and creative teams, ensuring Production files are up to date and well managed
• Arrange gifts for the company for opening performances
• General administrative and communication support
*This is not an Assistant Director role.

Person Specification
Essential
• Strong organisational skills and attention for detail, with the ability to develop and implement administrative processes
• Self-motivated, alongside the ability to take instruction and to work as part of a team
• Ability to prioritise and be accurate in a busy and changeable work environment
• Punctual and reliable
• Clear and confident communication skills, able to be communicate with to a wide range of people, including trustees, artists, agents, co-producers, families and young people.
• Competent in the use of Microsoft Office programmes including Outlook and Excel
Desirable
• Interest in developing a career as a producer
• An interest in the Unicorn’s artistic activity and mission
• Experience of working with creative teams and artists
• Awareness of Equity/BECTU/MU/WGGB/UKT agreements
• Good working knowledge of current theatre landscape
• Experience of diary management
