Hours per week: 37 Monday – Friday, Mon-Thurs 08.30 – 17.00 and Fri 08.30 – 16.30

This opening assignment is for 3 months

Minute taking skills and experience are essential for this role

An Admin Assistant is required to work flexibly as part of a team to provide an efficient, effective and comprehensive county wide Business Support Service across A&C localities, maintaining a high-quality responsive customer service for both internal and external customers.

Key responsibilities:

Work as part of a team in the provision of all administrative, technical, and secretarial work
Undertake general office duties e.g. post, fax, and file management (paper and electronic) photocopying maintenance of office equipment, research, collating and disseminating identified materials
Produce notes and record actions and decisions of meetings as requested from hand-written/audio or video recorded information.
Produce typed documents including reports and correspondence (electronic or paper formats) from information provided, making layout presentation decisions.
Respond to routine correspondence/emails from standardised information e.g. acknowledgements, requests for routine information.
Undertake reception duties, receive visitors, answer enquiries by telephone or in person from members of the public, service users or other employees and makes routine calls to obtain information/resolve queries.
Manage incoming and outgoing correspondence either electronically or physically. Take and relay messages and institute any associated action.
Monitor generic inboxes and work trays to ensure that they are appropriately managed and information recorded /tracked/progressed and prioritised as appropriate.
Arrange meetings and training events as requested, including the preparation and circulation of invitations agendas minutes and other materials, booking of venues and catering arrangements.
Raise orders and process invoices in an accurate and timely manner.

Qualifications:

NVQ 2 level qualification in a relevant subject or equivalent level of relevant experience.



Experience:

Customer care experience of working with staff, service users, visitors etc. at all levels both within a local authority and externally.
Minute taking skills and experience are essential for this role.
Switchboard/Reception experience.
Working in an administrative, financial, secretarial setting.
Experience of maintaining computer-based and manual record systems.
Arranging and servicing meetings, including note taking.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.



Knowledge:

Knowledge of the importance of customer service and of confidentiality relevant legislation such as Health & Safety.



Skills & Abilities:

Excellent communication skills (written and verbal) and able to communicate clearly and accurately by telephone and in person with a wide range of staff, partners, and customers.
Able to produce accurate written documents e.g. letters, notes etc.
Ability to be self-motivated and able to work on own initiative or as part of a team.
Able to work quickly and accurately to deadlines in order to meet priorities and targets.
Willingness to learn and develop new skills and knowledge.
Provide excellent customer service at all times.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
