We’re currently recruiting for a Medical Secretary who’d be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.
It's a Part-Time role - rota-based (some flexibility in working hours can be offered for the right candidate).
£11.44 per hour
Main duties: Your responsibilities as a medical secretary would be mainly:
- Processing referrals using the electronic referral system
- Processing requests for information
- Word processing, reports, and associated documentation as required
- Liaising with external agencies
- Maintain an accurate database
- Answering incoming phone calls, and dealing with the callers queries appropriately
- Process online queries
- Scanning documentation and attaching scanned documents to relevant records
- Inputting data into the system
- Managing all administrative queries as necessary
- Servicing meetings, circulating the agenda and related documents, recording and typing the minutes
- General office duties including but not limited to photocopying, faxing, emailing, answering telephone calls, taking messages, dealing with urgent queries.
- Carry out system searches as requested
- Support reception / administrative staff
- Support all clinical staff with general administrative tasks as requested
- Update secretarial protocol and procedures regularly.
Requirements:
- Previous experience in a similar role
- Excellent customer service skills and the ability to put the needs of patients first
- Knowledge of medical terminology to accurately type out medical reports and other documents
- Computer literacy, including a working knowledge of relevant programs, such as Word and Excel
- The ability to function well in a team to provide effective administrative support
- Excellent organisational skills to ensure that an office runs smoothly
- Ability to maintain strict confidentiality and deal with the public in a sensitive way
- Good spelling and grammar for typing clinical and administrative letters and other correspondence
