A Vacancy at West Hertfordshire Teaching Hospitals NHS Trust.


An exciting new post has arisen for aSupport Patient Pathway/EAU Co-Ordinatorto join theGeneral Surgery team.

Preparing clinic letters – typing, sending documents to GP’s, consultant, other clinical staff within the Trust and other hospitals and patients as necessary.

Making appointment and receiving telephone calls.

Assisting other members of the Vascular Department.

Process clinical letters as necessary.

To input and maintain departmental databases as required.

To provide administrative support to the Vascular Department as required.

Use of Trust’s patient administration system to identify patient’s personal and clinical information.

Book appointments where required.

Provide holiday cover for Vascular Secretaries when needed.

Cashing up clinics as required.

Processing validations as per the department’s requirements.

Point of contact on telephone for EAU.

Ensure patient details are correctly entered onto patient administration system.

Liaise with Medical Secretaries and consultants as required.

Organise, plan and prioritise workloads efficiently and effectively.

Ensure adherence to agreed operating procedures.

To monitor the department’s generic email addresses and forward them to the relevant team.

Collect and distribute daily post/Take post to post room.

Scanning of results and correspondence and uploading to EPR.

To respond promptly and politely to telephone calls in the absence of the Band 4 Medical Secretary and, if an immediate response is required, ensure the appropriate person is informed.

In the absence of the Medical Secretary/PA, open post and ensure urgent correspondence is immediately passed on to the appropriate personnel.

Generally work unsupervised for day-to-day tasks and duties.

Responsibility for the safe use and maintenance of equipment used personally such as telephone, computer equipment etc.

Report any problems to the Office Manager.

Actively participate in the Trust’s appraisal system.

To undertake any training as deemed necessary.

To work with the medical records system, requesting and tracking notes as necessary.

In the absence of the Medical Secretary, ensure that correspondence is passed promptly to GP surgeries, solicitors, other hospitals, other departments, social workers etc.

Maintain good working relationships with colleagues, GP’s, nursing and medical staff across the Trust.

Plan and organise own time in order to meet procedural guidelines.

To take direction from the Office Manager as to any other duties that may be required.
