An exciting opportunity has arisen for a Receptionist/Administration support in the very busy Limb Fitting and Orthotics Department. Applicant's should have face to face and telephone experience booking appointments and dealing with patients. Ability to work under pressure is essential. General computer literacy and knowledge of Microsoft packages are essential and knowledge of hospital computer systems is desirable.

*Meeting & Greeting Patients

*Booking appointments at convenient time for patients

*Arranging hospital transport

*Processing incoming referrals and booking appointments

*Processing clinics and booking follow up apps or Discharging patients

*Banding of supplied Orthoses

*Booking in and processing incoming post and deliveries

*Posting out items and recording

*Answering phones, dealing with patient enquiries and recording in patient notes

*Other Admin duties as requires by Admin Team Lead

All new staff will be subject to a probationary period covering their first six months in post. Travel between hospital sites may be required.

1. Greeting patients and members of the public, acting as first point of contact in an efficient, professional and friendly manner.
2. Book patient in and depart patients on IPM & RMS Computer systems.
3. Patient records are to be kept up to date with any changes that may be I Informed of.
4. Responsible for upholding an effective appointment system offering available slots to patients. To keep patients up to date of any delays in clinic.
5. Record on clinic all patients that ‘did not attend’ and send correspondence
6. Be responsible for incoming post, pass to appropriate person as necessary.
7. Inputting new referrals on IPM and RMS received in the department
8. To answer telephone queries and monitor/respond to answer phone messages, to be recorded in message book and passed on to correct Professional as required.
9. Clinics are to be checked and orthoses available for the following day’s clinic.
10. Process clinics in a timely manner completing outcomes, follow-ups and discharges. Producing all relevant documents and saving accordingly.
11. Support other team members to ensure that Orthoses are accurately banded on Trust computer system – iPM within set time period.
12. The post requires the ability to communicate effectively with patients, relatives, medical colleagues and allied health professionals both on the phone and face to face.
13. Ensuring messages and post is allocated to the correct member of the team.
14. Scanning of all relevant documents to be transferred to patient’s records. And scanning of all old paper records where required.
15. Ensure ‘Walk-In’ and ‘Ward’ patients are registered in IPM/RMS and walked onto appropriate clinic, and make professional aware of action that needs to be taken.
16. Be responsible for checking and booking on via procurement all incoming deliveries. Ensuring appropriate appointments/contact are made for patient awaiting Orthoses.
17. Maintaining Patient confidentiality at all times
18. Support Admin Team Lead and Therapy Service manager with other administrative duties as requested
