As a Ward Clerk, you will be the first point of contact for patients, visitors, and staff, playing a key role in creating a positive and professional ward environment.

Your responsibilities will include:
• Greeting and welcoming everyone who enters the ward, ensuring staff identification is checked appropriately before access to patient information is granted
• Answering telephone calls in line with the Trust’s telephone protocol, accurately taking and passing messages to the Ward Manager, Nurse in Charge, or relevant team members
• Building and maintaining positive working relationships with patients, carers, nurses, and members of the multidisciplinary team (MDT)
• Liaising with other wards and departments to ensure patient records are accurate, up to date, and well maintained
• Attending and contributing to ward and directorate meetings as required
• Developing a strong knowledge of all aspects of the ward environment
• Preparing patient notes for ward rounds, ensuring confidentiality is maintained at all times
• Organising and restocking the notes trolley, ensuring all necessary forms and patient case notes are available

• Greet and welcome all persons entering the ward, checking identification of staff requiring access to patient information.
• Answer the telephone correctly by adhering to the Trust’s telephone protocol. To understand and give messages received to the appropriate person i.e. Ward Manager or nurse in charge.
• Maintain medical case notes and ensure there is no loose filing, there are sufficient history sheets, that they are tidy and repaired as necessary, and problems are reported to the appropriate departments.
• Undertake all routine clerical duties required such as photocopying, filing, scanning, typing and minutes of ward meetings, as well as assist the Ward Manager in administrative tasks as is required.
