Medical Receptionist GP Surgery Job Description Job purpose To provide a professional, efficient, and confidential reception and administrative service, acting as thefirst point of contactfor patients and supporting the smooth day-to-day running of the GP surgery. Key responsibilities 1. Reception & patient care Greet patients and visitors in a polite, friendly manner Book, amend, and cancel appointments (face-to-face, phone, online) Direct patients to the appropriate clinician or service (care navigation) Check patients in and manage waiting lists/flow Handle patient queries and complaints sensitively Maintain patient confidentiality at all times 2. Telephone & communication duties Answer incoming calls promptly and direct appropriately Take messages and pass to clinical staff Deal with general enquiries and requests (e.g. test results, prescriptions) Contact patients regarding appointments or updates 3. Administrative duties Register new patients and update records on clinical systems Scan, file, and manage patient records and correspondence Handle emails, post, and internal communications Maintain accurate data entry and documentation 4. Practice support Assist GPs, nurses, and management with admin tasks Support recall systems (e.g. vaccinations, screening programmes) Monitor stock levels of forms and stationery Follow practice protocols and NHS guidelines 5. Operational duties Open/close the surgery and maintain security where required Ensure the reception area is tidy and organised Take payments for private services if applicable Support colleagues and cover shifts when needed Skills & requirements Strong communication and customer service skills Ability to work in a fast-paced, sometimes stressful environment Good IT skills and familiarity with clinical systems (desirable) Organisation, multitasking, and attention to detail Professional, calm, and empathetic approach to patients Key qualities Patient-focused and approachable Reliable and flexible Able to maintain confidentiality and professionalism Team player with good problem-solving skills A GP receptionist is essentially thehub of the surgerymanaging appointments, handling patient queries, supporting clinicians, and keeping everything running smoothly.
