Estates, Facilities & PFI Services provide essential non-clinical support to the Trust, including Estates Operations, Facilities Management, Supplies and Procurement, Sustainability, PFI Contract Performance Management, and Divisional project support. The Administration and Contract Support Manager will work closely with a busy Estates Operations Management Team, providing a comprehensive administrative and contract support service. The post holder will be responsible for providing, receiving, analysing, and distributing complex information, ensuring it is communicated clearly, accurately, and appropriately to colleagues, contractors, and external organisations. Effective use of communication channels will be essential to ensure the timely flow of information. The role requires a highly motivated and enthusiastic individual with excellent written and verbal communication skills, strong organisational abilities, and a flexible, proactive approach. The post holder will be expected to prioritise a demanding workload, work effectively under pressure, and contribute to the delivery of work to a consistently high standard. Key responsibilities include co-ordinating meetings, preparing and distributing agendas and papers, taking accurate minutes, and ensuring actions are followed up within agreed timescales. The post holder will also be responsible for maintaining accurate records and data across a range of departmental IT systems. The role includes supporting the administration and monitoring of labour management systems, contracts, service level agreements, ordering, recharging, and invoicing processes, and providing cover for colleagues during periods of absence to ensure continuity of service. Applicants must demonstrate good knowledge of administrative procedures and excellent IT skills, including Microsoft Excel, Word, Outlook, and Teams. The successful candidate will be educated to Diploma / NVQ Level 4 or possess equivalent experience gained through formal training or practical experience. Previous experience in an administrative or clerical role is essential. Experience of NHS systems such as ESR and ELFS, as well as minute-taking experience, is desirable. The post holder will also contribute to the training and induction of new staff and provide guidance and support to less experienced colleagues, sharing knowledge and best practice.
