We are seeking a Technical Administrator to support the effective management of technical compliance across multiple sites and associated assets.
This role plays a key part in ensuring planned and reactive maintenance activities are delivered on time, data accuracy is maintained, and compliance obligations are met.
Job Description
We are looking for an organised and detail-focused administrator, ideally from a facilities management background, who is confident working with suppliers, purchase orders, CAFM systems and Microsoft 365 tools to support engineering and operational teams.
Key Responsibilities
Plan, schedule and manage PPM, reactive and corrective maintenance activities across sites and assets, ensuring adherence to agreed schedules.
Analyse PPM and compliance data to identify issues, misalignments or errors and take initiative to resolve them.
Maintain accurate records within CAFM and other systems, including job completion notes, task details and supporting documentation.
Monitor outstanding tasks and completions, proactively chasing suppliers and escalating issues where required.
Liaise with engineering teams, account management, property helpdesks and suppliers to ensure effective communication, access management and issue resolution.
Support subcontractor and supplier activity, including call-outs, planned works, parking, access arrangements and permit requirements.
Raise work orders internally and externally and maintain ownership of associated administrative processes.
Manage financial administration for the hard services workstream, including raising purchase orders, processing invoices and ordering consumables and materials in line with the preferred supplier list.
IT Systems Administration:
Administer compliance tools such as Track Record (training provided).
Interrogate systems including Insight, Maximo and Tririga as required to support reporting and compliance activity.
Professional and Personal Competencies/Qualifications
Ideally from a facilities management background with experience dealing with suppliers and purchase orders.
Strong administrative skills, including work order processing for reactive, PPM and corrective tasks.
Confident user of Microsoft 365, including Excel, Word, PowerPoint, Outlook and Teams.
Working knowledge of wider Microsoft 365 tools such as SharePoint, Planner and Forms.
Experience using CAFM systems and other asset management or IT platforms.
