​Equans is looking for a HR Administrator to join the Employee Services team based from our office located in Quorum Business Park, Newcastle on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package. You will be responsible for all administration relating to onboarding new starters, employee contractual amendments, leaver processes for Equans UKBU. This role will engage with employees, line managers and HR Operational leads to ensure a quality and timely service delivery. What will you deliver? Responsible for the preparation, distribution and HR & Payroll system updates for new employee contracts, contractual amends and leaver processes.Manage workload in line with Payroll Deadlines, internal Service Level Agreements and Key Performance Indicators.Initiate pre-employment checks for any employees working in roles that require particular security vetting or other client specific checks.Work directly with Hiring Managers and HR Operations to clarify their Onboarding, Employee Changes and Leaver requirements.Request specific system configurations with the technical support team for new employee work patterns where they do not currently exist, test once built, and load to the live system.Have a thorough understanding of Terms and Conditions with the ability to recognise and update related Contracts and Systems, whilst also considering the impact on external processes.Calculate salary, allowance and deduction payments and record in the payroll system.Appreciation of National Minimum Wage legislation and the impact on employees pay during the processing of contracts and system updates, advising Hiring Managers as appropriate.Check gross pay on payslips to confirm that any changes have processed as expected. Issue reference requests for new starters.Review any returned documentation and ensure it reaches the correct recipient, e.g. Fleet, Pensions, Benefits.Track activities where required to allow Team Leaders insight to support process improvements.Liaise with employees for the return of contractual documentation, bank details, and other new starter documentation to ensure they are include to the relevant months payroll.Set up and maintain employee personal files.Co-ordinate audit activity for own work area, with timely monthly sign off.Support the Team Leader in data collection and analysis across the team, e.g. volumes of starters.Provide personal data in line with Equans standards and GDPR guidelines to HR and Data Privacy teams.Deal with queries from employees, managers and HR on all HR Administrative processes and procedures.Manage own workload in line with service level targets.Support the maintenance of process documentation.Support the delivery of administrative duties as and when required for the Employee Services function.Identify and support process improvements to deliver best practice in HR Administration.Deliver excellent customer service and provide a welcoming, efficient, helpful and informative service to all.Take a role in the development and delivery of roadshows and customer meetings to promote the service and knowledge share. HR & Payroll systems (SAP) – Desirable.Understanding of HR Administration regulations and procedures – Desirable.Administrative experience - Essential.Working knowledge of Microsoft packages.Knowledge of current GDPR.Excellent attention to detail.Basic level of mathematical skillsAbility to prioritise and work with colleagues to deadlines.
