Job Role: Deputy Manager Position

Hours: Full time 37.5 hrs per week

Location: Glastonbury, Somerset

Hourly Rate: £27,500 p.a


As a Deputy Manager, you will be responsible for assisting the Business Development Manager(BDM)/Registered Manager in the operational day-to-day management of the service ensuring Candlelight Care’s continued compliance with relevant legislation. Working in partnership with the BDM/Registered Manager, you will ensure the provision of a high-quality service enabling individual needs and organisational priorities to be met in accordance with available resources.


You must be committed to developing and enhancing the services being delivered.

Role Responsibilities:

Compliance

To assist the BDM/Registered Manager to maintain a high-quality service working in partnership with colleagues to manage the services.

To assist the BDM/Registered Manager to ensure the delivery of safe, personalised services to each individual client through the Care Quality Commission’s 5 key questions: Is your service Safe, Effective, Caring, Responsive and Well-led?

To ensure compliance with Candlelight Care’s policies and procedures, at all times.

Service Delivery

To assist the BDM/Registered Manager to ensure the delivery of person-centred care and support services that promote independence, choice and dignity to empower people to live independently, within their own homes, for as long as reasonably practical for them to do so.


To ensure care and support services are structured in a way that provides flexibility, reliability and continuity.

To ensure services are accessible.

To assist the BDM/Registered Manager to ensure the service is appropriately resourced with the right number of suitably qualified, skilled and experienced staff.

To ensure all new referrals are responded to in a timely manner.

To assist with the coordination of care and support workers across all areas, ensuring all outstanding visits have been covered.

To deliver services that ensure to Candlelight Care’s duty of care to clients and staff providing the service.

To ensure good communication and links with all stake holders with regard to the provision of services including commissioners, clients, relatives, social work teams, etc.

To assist the BDM/Registered Manager to ensure the office is resourced during office hours and ensure the provision of an effective out of hours on-call service.

Service Development

To identify marketing opportunities and contribute towards the development of a marketing plan.

To manage projects that will improve the efficiency and effectiveness of the service.

Team Management and Leadership

To assist the BDM/Registered Manager to manage a large staff team both involved in the direct provision of the service.

To ensure there is a coordinated and consistent approach to service provision that is cost effective and efficient, making the best use of allocated resources.

To work closely with the Marketing/Recruitment Officer identifying recruitment needs and develop plans to ensure the service is appropriately resourced with capacity for growth.

To be routinely involved in a range of human resources/staff management duties, including:

· Recruitment and selection

· Interview process

· Training

· Supervision/Appraisal/Mentoring

· Disciplinary/Capability procedures

· Absence management

· Social media Posts

To ensure that processes and procedures are in place to meet the various organisational and staff requirements with regards to human resources/payroll issues.

To assist the BDM/Registered Manager to ensure that staff are trained for their roles and responsibilities and that all groups of staff within the team have access to appropriate training and learning opportunities.

To assist the BDM/Registered, Manager to establish and maintain effective two-way communication to ensure all staff are aware of and can contribute to operational and strategic development, e.g. closed Facebook page/staff emails.

To ensure that all staff are familiar with and work in line with Candlelight Care’s policies and procedures.

To offer advice, support and guidance to all staff at all levels.

Quality Assurance

To deliver services effectively and efficiently and have clear monitoring procedures and processes in place to ensure standards are continually met.

To ensure good and safe practice in all activities relating to client care by putting systems in place to guide, monitor and evaluate care and services provided.

To assist the BDM/Registered Manager to resolve all complaints in accordance with Candlelight Care’s Compliment, Comments and Complaints policy.

Resource Management

To develop operational controls in partnership with the BDM/Registered Manager to ensure commitment to cost effectiveness and value for money.

Core Responsibilities:

To participate in personal development and training.

To support the team leaders and ensure the smooth running of the service in their allocated zones.

To implement and be part of the On-Call Team.

To attend and participate in regular team and staff meetings, if necessary (outside of contracted hours) for that week.

To carry out staff supervisions, support the manager with staff appraisals, ad hoc meetings and performance management where required.

To work in accordance with Candlelight Care’s Policies and Procedures, at all times.

To communicate in a respectful, sensitive and polite manner at all times.

To ensure a high-quality care and support services is facilitated to clients within their own homes.

To input data and required information including risk assessments for all new and current clients and care support staff with the relevant software systems.

To ensure staff holiday spread sheet is always kept up to date.
