Main Duties and responsibilities Day to day line management of the reception and administrative teams ensuring they carry out their duties effectively and efficiently in line with practice protocols.in delivering an excellent patient experience. Reception Managers to work closely to coordinate staff and services to ensure adequate staff levels at both sites. Oversee staff rotas, annual leave management and sickness processes to always maintain adequate staffing levels on each site. To coordinate staff, workflows and processes to ensure efficient and accurate completion in line with practice protocols. Lead (in conjunction with the Assistant Practice Manager/Practice Manager) Digital, Data and Technology projects/developments within the Practice. Compile and run EMIS searches to support Practice activity, including QOF targets, safety searches for prescribing and ad hoc searches as requested. Involvement in innovation and transformation projects, eg remote monitoring, and mapping pathways as required. First point of contact for on site digital and technology problems, liaising with the local IT Team to rectify any issues that cannot be resolved in Practice. Ensure all staff have access to EMIS, ICE, telephony systems etc, registering new accounts, troubleshooting as required. Assist in the delivery of annual appraisals, supervision, probation reviews, and performance management for all reception staff. Ensure the team are trained and competent in all reception, care coordination, signposting and administrative processes. Lead team meetings, ensuring effective dissemination of information from the Practice Manager and clinical team. Provide regular reports on reception operations, telephony activity, workforce issues etc to the management team. Support staff welfare, manage conflict and foster a positive, supportive working culture. Manage/maintain the Practice website, Facebook and social media accounts, and produce the monthly Practice Newsletter.
