Make a Real Impact in Building Safety
We are looking for a highly organised and detail-focused Administrator to support our Fire & Building Safety team. You will play a key role in ensuring building safety documentation, case files and compliance records are accurate, up to date and easy to access, helping us keep our buildings and residents safe.
This is a great opportunity for someone who thrives in a structured, process‑driven environment and enjoys coordinating information, managing documentation and supporting busy technical teams.
Key Responsibilities
* You will provide reliable administrative support across the Building Safety function, including:
Document & Data Management
* Organise and maintain Building Safety documents, case files and evidence.
* Collate, check and upload documents for Safety Case Files and Safety Case Reports.
* Keep systems, trackers and logs accurate and up to date.
* Maintain filing structures, SharePoint sites and document registers to support the Golden Thread.
Coordination & Scheduling
* Arrange appointments, inspections, contractor visits and access.
* Follow up on outstanding actions and information requests to keep cases moving.
* Respond to routine enquiries from residents, teams and contractors.
Compliance Support
* Prepare and update inspection reports, certificates, meeting notes and compliance information.
* Record and track actions arising from FRAs, inspections, audits and resident enquiries.
* Produce simple reports, summaries, data extracts and basic statistics.
* Support Building Safety audits, reviews and internal reporting cycles.
More About You
* GCSEs (or equivalent) in Maths & English (A*–C)
* Strong administrative and organisational skills
* Experience in an admin or coordination role
* Excellent attention to detail and accuracy
* Confident using systems such as SharePoint, Excel, D365 and other digital tools.
* Ability to manage multiple files, documents and trackers
* Clear communication skills with colleagues, contractors and residents
* Comfortable handling data and producing simple reports
* Able to work to deadlines and follow clear processes
* Experience working with compliance or safety data
* Knowledge of Building Safety or housing compliance
* Awareness of safety compliance requirements
