Responsibilities:
• Manage Aconex, the Common Data Environment, and all associated information management processes to ensure accurate and compliant document control.
• Maintain internal job folders and filing systems, ensuring information is organised, up to date, and easily accessible.
• Oversee day to day office affairs, including general administration and coordination of office requirements.
• Produce, compile, and finalise Operation & Maintenance (O&M) manuals in accordance with project and client expectations.
• Coordinate deliveries to and from the office, as well as between project sites, ensuring efficient and timely movement of materials and documentation.
• Answer and direct incoming calls on the main office telephone line in a professional and courteous manner.
• Take accurate minutes at meetings and distribute them promptly.
• Manage the allocation, recording, and distribution of staff PPE to ensure compliance with company standards.
• Process staff mileage claims and expenses in line with company procedures and deadlines.
• Coordinate meetings and manage meeting room bookings, ensuring appropriate arrangements and resources are in place.
• Assist with staff inductions and supporting onboarding activities.
• Carry out any additional duties or tasks that may be reasonably requested, commensurate with the role and level of responsibility.
