This includes: Conducting clinical assessments Prescribing and managing medication Delivering Buvidal clinics Working collaboratively with partner organisations to provide a holistic health and wellbeing service Our aim is to ensure safe, responsive, and person-centred care for everyone accessing the service. Job Summary The Healthcare Administrator provides comprehensive administrative and operational support within the CANOL service, ensuring the effective coordination of healthcare and substance misuse interventions delivered within criminal justice settings. The role supports clinicians and multidisciplinary teams by maintaining accurate records, coordinating appointments, prescriptions, ensuring efficient service delivery for individuals accessing drug interventions aimed at reducing harm and reoffending. CANOL delivers integrated interventions across South Wales prisons and community justice pathways to address substance misuse linked to offending behaviour through therapeutic and health-focused programmes. Key Responsibilities Administrative Support Provide day-to-day administrative support to healthcare and substance misuse teams. Manage service email inboxes, telephone enquiries, and internal communications. Arrange clinical appointments, assessments, and intervention sessions. Overseeing the printing of prescriptions and delivering to pharmacies Maintain staff diaries and clinic schedules. Clinical Data & Records Management Maintain accurate electronic and paper patient/service user records. Input clinical and activity data onto case management systems. Ensure documentation complies with GDPR, confidentiality, and information governance requirements. Support monitoring of referrals, attendance, and outcomes data. Assist with reporting requirements linked to contract performance. Service Coordination Process referrals into the CANOL service. Liaise with prison healthcare departments, probation services, and partner organisations. Support continuity of care administration when individuals transfer or are released. Coordinate communication between clinical staff and criminal justice partners. Reception & Service User Support Act as a first point of contact for staff, partners, and service users. Provide professional and non-judgemental communication with individuals accessing substance misuse support. Support appointment reminders and engagement processes. Reporting & Performance Monitoring Assist managers in preparing service performance reports. Collate activity data and audit information. Support contract compliance and quality assurance processes. Information Governance & Compliance Maintain confidentiality at all times. Follow organisational policies relating to: o Data protection o Safeguarding o Prison security procedures Ensure accurate filing and secure handling of sensitive healthcare information. Multidisciplinary Working Work collaboratively with: o Nurses and clinicians o Recovery practitioners o Prison staff o Probation services o External healthcare providers Support coordination of integrated care pathways. CANOL operates as a partnership service addressing substance misuse across multiple criminal justice agencies. Person Specification Essential Qualifications GCSEs (or equivalent) including English and Maths Administration qualification (NVQ Level 2/3 or equivalent) or relevant experience Essential Experience Administrative experience in healthcare, social care, or public services Experience managing confidential information Experience using databases or electronic record systems Working within multidisciplinary environments Desirable Experience Experience in prison, criminal justice, or substance misuse services NHS or third-sector healthcare administration experience Knowledge of offender health pathways Welsh language skills (desirable) Skills & Competencies Excellent organisational and time-management skills Strong IT skills (Microsoft Office, databases) Accurate data entry and record keeping Professional communication skills Ability to work in a secure and fast-paced environment Compassionate and non-judgemental approach Flexible in approach, while consistently following and upholding organisational policies and procedures.
