Events Coordinator

London, W2 6BD

We are looking for a highly organised and customer-focused Event Coordinator to support the planning and delivery of a wide range of onsite events, including meetings, seminars, roundtables, and networking functions.

This role will work closely with the Events Manager and wider team to ensure seamless execution across multiple event spaces.

As a Events Coordinator you'll:

  • Manage the Events inbox, responding to enquiries and coordinating event bookings with clients and internal stakeholders to confirm requirements and schedules.

  • Coordinate all logistical and operational aspects of events, including catering, AV, room set-up, staffing, guest registrations, delegate lists, and name badges.

  • Provide onsite support during events, acting as a key point of contact for clients and guests to ensure smooth delivery.

  • Oversee post-event processes, including administrative close-down and feedback collection.

  • Support and brief Event Hosts, ensuring they are informed, prepared, and operating effectively throughout the day.

  • Assist with reception duties when required, supporting the wider lobby team.

  • Work collaboratively with the Events Team to deliver a high volume of events (typically 15–20 per week) ranging from 20 to 300 attendees while maintaining a high standard of service.

What we're looking for:

  • Previous experience in event planning (essential), with 1–3 years in customer service, hospitality, or reception roles (preferred)

  • Strong organisational and coordination skills, with the ability to manage multiple priorities and deliver high-quality events

  • Excellent communication and interpersonal skills, with a focus on guest experience and customer service

  • High attention to detail, with a proactive and solutions-focused approach

  • Ability to work under pressure, meet deadlines, and adapt in a fast-paced environment

  • Confident working both independently and as part of a team

  • Proficiency in Microsoft Office (Outlook, Excel, Word, SharePoint)

  • Flexible approach to working hours in line with event requirements
