About the Role

A well‑established firm in the legal services sector is seeking a professional, organised and detail‑focused Legal Secretary to provide high‑quality support to fee‑earners. You will handle document production, case administration and client communication, ensuring matters progress efficiently and confidentially.
Key ResponsibilitiesDocument Production & Case Administration

  • Produce, format and proofread legal documents, correspondence, forms and court papers.
  • Transcribe audio/digital dictation accurately and within deadlines.
  • Assemble and maintain bundles; file and archive case materials in line with procedures.
  • Draft routine correspondence and forms under instruction.

Diary & Practice Support

  • Manage diaries, schedule client meetings, conferences and hearings.
  • Coordinate travel/appointments and ensure key dates and deadlines are tracked.
  • Monitor shared inboxes, incoming post and e‑filing; action or escalate promptly.

Client Care & Communication

  • Act as a professional first point of contact via phone, email and in person.
  • Handle sensitive information with absolute discretion and maintain GDPR compliance.
  • Liaise with clients, courts, counsel, experts and third parties to progress matters.

Finance & Administration

  • Assist with file opening/closing, conflict checks and KYC administration.
  • Support billing: draft bills, process disbursements, and update matter ledgers.
  • Maintain accurate records, precedents and templates; oversee stationery and supplies.

Skills, Experience & AttributesEssential

  • Prior experience as a Legal Secretary or strong administrative experience in a professional services environment.
  • Fast, accurate typing (audio/digital) and excellent MS Office skills; confident using case/document management systems.
  • Exceptional attention to detail, spelling and grammar; strong proofing skills.
  • Organised, proactive and able to manage multiple deadlines under pressure.
  • Clear, professional communication and strong client‑service mindset.
  • High standards of confidentiality and data protection awareness.

Desirable

  • Familiarity with one or more legal practice areas (e.g., conveyancing, family, litigation, probate, commercial).
  • Knowledge of court forms/procedures and electronic filing portals.
  • Legal secretarial training or qualifications (e.g., ILSPA/CILEX) and experience with time‑recording/billing software.

  • Full‑time, office‑based role in a professional, supportive legal practice.
  • Collaborative team culture with clear processes and quality standards.
  • Regular office hours with structured workload and defined service levels.
