We are looking to recruit a receptionist supervisor to work with the emergency department at UHCW. The successful candidate will need to be available to work over the 7 days a week, days, evenings, nights and weekends shifts will be set on a 4 week rolling rota, however should you wish to apply for this role and have limitations in a working pattern please document this in the supporting statement.

This role is critical to the smooth operation of our admin functions and is responsible for the training and development of 30+ reception staff. The successful candidate will have the opportunity to learn and develop their leadership and management skills as well as develop the processes and practice within the team.

Booking in reception related data quality.

Book patients into the emergency department and make follow up outpatients appointments where required.

Act as the first point of contact for dealing with routine enquiries and take action as necessary liaising with others as appropriate.

Communicate with staff, patients and/or external organisations using appropriate methods.

Maintain both mutual and electronic filing systems and databases, as required by the department and trust policies, ensuring all documents are accurately and appropriately archived.

Maintain an efficient and comprehensive administrative service, including photocopying, completing PDRs, and providing support to the Reception and other team members as requested.

Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems will include ESR, excel and TEAMS

Assist with training new team members in Trust operational systems and department procedures.

Responsible for overseeing stationery ordering and other equipment whilst monitoring and maintaining stock levels.

Prioritise daily tasks to achieve timescales set

Provide appropriate cover in the absence of other members of the team

Ensuring relevant information is captured for overseas/private patients

Responsible for the NHS 111 referral inbox. Ensuring the at the inbox is monitored regularly throughout the day.

Creating external referrals for NHS 111 referrals

To ensure that any requested changes to clinics are administered in a timely and efficient manner
