Crynodeb
The purpose of the role is to ensure the National Enforcement Team has high quality administrative support, helping to enable the team’s delivery of Enforcement and its outcomes. The role is varied and can be fast paced. It requires diligence, a problem-solving aptitude, and an ability to prioritise competing demands to provide an excellent support function to the team.
Some travel may be required with occasional overnight stays.
You will:
- Undertake office management duties including Enforcement receptionist duties triaging and managing the Enforcement Team administration and Enforcement mailbox’s dealing with external and internal enquiries whilst managing conflicting engagements and finding ways of resolving competing priorities.
- Deal with routine enquiries from Area Teams, Regulations Team, Defra Counter Fraud and Investigation Service, Police, CPS and other partners and agencies.
- Undertake effective management of the Crime Management System (CMS) managing allegations of alleged illegal tree felling being referred to the National Enforcement Team for further action. Ensuring that new cases are accurately referenced, recorded, and reviewed on the system.
- Act as IT local infrastructure manager for the Enforcement Team maintaining the Enforcement Team Crime Management System (CMS) and investigation and intelligence case file folders including exhibit management.
- Manage the intelligence functions of the team assisting the team with dissemination of intelligence and liaison with external partners and agencies ensuring compliance with the National Intelligence Model (NIM).
- Be responsible for witness management acting as a liaison between the investigators and the public and other agencies. Liaising with courts and CPS keeping witnesses updated with court dates and other requirements including maintaining a dates to avoid database.
- Act as Single Point of Contact (SPOC) for all Enforcement Team FOI and Data Protection Act requests.
- Develop and improve investigative functions and provide support to Enforcement projects as and when required.
- Compile reports and documents to support the Enforcement Team functions.
- Manage and maintain diaries within the Enforcement team including a court warnings diary liaising with courts and CPS as well as maintaining a dates to avoid database.
- Build and maintain relationships with the Area Teams, Regulations Team, Defra Counter Fraud and Investigation Service, Police, Crown Prosecution Service, and other partners being mindful of disclosure.
- Operate within the legal and procedural requirements of the criminal justice system and FC guidance.
- Provide financial Support including finance tasks such as monitoring and liaising with the England Finance Team in respect to invoicing, booking travel and accommodation on behalf of the team.
- Book and coordinate a variety of meetings and events.
- Provide meeting support: including distributing meeting agendas, collating papers, taking minutes, and managing action logs.
- Provide cover for the Regulations Admin support dealing with post and other tasks such as the service of notices on behalf of the Regulations Team.
- Support and produce effective information management for the Enforcement team.
- Suggest improvements to current administrative procedures and processes.
- Provide any other administrative support required. Assist with the administration of other regulatory work as requested by the Enforcement team.
- You will also be responsible for managing and improving the teams Sharepoint site and trackers.
- Maintain training records and arrange and support staff training courses etc.
- Personal Development - Undertake training and development in line with Individual Learning Plan to develop competencies required for the post.
