RESERVATIONS OFFICER

One Hatfield Hospital, part of Phoenix Hospital Group, are looking for 2 highly organised and customer-focused Reservations Officers, one on a full time basis and one on a part time basis. In this role, the successful Reservations Officer will be responsible for coordinating patient reservations and ensuring a smooth and efficient booking process for patients, consultants and internal departments.

Reporting to the Senior Reservations Officer, you will often be the first point of contact for patients and key stakeholders, so providing a professional, friendly and efficient service is essential.

PLEASE NOTE:

THE FULL TIME POSITION WILL AMOUNT TO 37.5 HOURS PER WEEK MON-FRI.

THE PART-TIME POSITION WILL AMOUNT TO 22.5 HOURS PER WEEK MON-FRI. ANNUAL LEAVE ENTITLEMENT WILL BE WORKED OUT ON A PRO-RATA BASIS.

KEY RESPONSIBILITIES

o Manage patient appointment and admission reservations via telephone, email and internal referrals
o Maintain consultants clinic diaries and availability
o Communicate booking confirmations and relevant information to patients
o Respond to patient and stakeholder queries in a professional and timely manner
o Liaise with internal departments and external stakeholders to coordinate reservations
o Verify patient details and insurance information where required
o Process reservation documentation and update patient records accurately
o Assist with clinic preparation, patient check-ins and general administrative tasks
o Support the wider team to ensure efficient day-to-day operations


RESERVATIONS OFFICER

We are looking for someone who is organised, proactive and passionate about providing excellent service.

ESSENTIAL:

o Previous administration or customer service experience
o Strong organisational skills and attention to detail
o Excellent communication and interpersonal skills
o Confident using computer systems and standard office software
o Ability to work both independently and as part of a team
o Ability to manage multiple tasks and meet deadlines


DESIRABLE:

o Previous experience in a healthcare or clinical environment
o Experience managing reservations, appointments or scheduling
o Personal Qualities Professional, positive and approachable
o Strong customer service focus
o Flexible and adaptable in a fast-paced environment
o Reliable with a strong work ethic
o Committed to maintaining confidentiality and high standards of service
