Purpose
To manage the Community Centre on behalf of the Trustees, to ensure that all allocated resources are employed in a cost-effective manner. To deliver high quality services to the public while complying with all current legislation and ensure that the building is maintained and in good condition.

The role requires leadership in managing staff, maintaining financial oversight, ensuring building upkeep, and fostering community engagement.

Key Responsibilities / Operational Management
• Work with the Treasurer to set an annual budget and prepare monthly financial reports for the Trustees.
• Manage the Trust’s bank accounts, staff payroll and customer monthly accounts.
• Managing the efficient day to day running of the centre with regard to bookings, events and programmes by ensuring admin systems are in place to handle bookings, send invoices and process payments.
• Handle routine paperwork and correspondence for the Trust.
• Negotiate contracts and maintain good relationships with local suppliers for services such as utilities, cleaning and equipment.
• To ensure policies are reviewed on a regular basis and make any recommendations for new and revised policies and/or procedures with the HR Consultant for Trustees’ approval.
• Oversee the daily work of staff, volunteers and casual workers ensuring sufficient staff cover by organising rotas and delegating tasks. Holding regular one-to-one meetings to review performance and identify any training needs.
• To keep the centre welcoming, safe and compliant with health and safety laws, fire safety, safeguarding etc. by overseeing the maintenance of the building, grounds and any equipment by arranging repairs and cleaning.
• Maintain a log of maintenance work and plan refurbishment with Trustee approval.
• Carry out regular risk assessments and put new safety measures in place if necessary while ensuring equipment, materials and facilities are well maintained, accessible and stored correctly.
• Oversee the management of security by ensuring all staff are fully aware of the safety and security rules including locking/unlocking, alarms, key control.

Community Engagement and Development
• Build and maintain strong relationships with residents, community groups and stakeholders.
• Develop activities, workshops and services that cater to the needs of the community, ensuring inclusivity and diversity.
• Gather feedback from the community and regular hirers to ensure the Trust is meeting local needs and adapting services accordingly.
• Promote the Trust’s services and activities through social media, website, local media and direct outreach.

Event Planning and Management
• Support community events, including liaising with hirers and managing requirements and resources to ensure successful event planning.
• Manage all logistical aspects of events, such as room set ups, equipment, catering and technical support.

Customer Service
• Respond to enquiries by members of the public, users and local authorities, providing information about services and facilities.
• Address and resolve any issues or complaints from users, members of the public and local authorities in a professional and timely manner.

Strategic Planning
• Support the Board of Trustees to develop and maintain a long-term strategy to expand the Trust’s reach and impact within the community.
• Work with local councils, businesses, charities and other community organisations to strengthen partnerships, apply for grants and bring additional resources to the Trust.

Governance and Trustee Engagement
• Attend Trustee meetings, preparing agendas and recording minutes for approval.
• Consult regularly with Trustees to provide updates and receive feedback.

Qualifications and Experience
Essential Desirable
Financial management and budgeting.
Managing services, facilities, personnel, and contractors. X
Experience of Health and Safety compliance, including completing risk assessments, and maintenance management. X
