YOUR ROLE



Our FVL team based in Chipping Warden is looking for a proactive and organised Logistics Administrator where you will provide administrative and operational support to the operational team and driver network, ensuring accurate documentation, efficient record management, and compliance with regulatory and safety requirements. The role supports the smooth running of logistics operations by maintaining key systems, coordinating driver-related administration, and proactively resolving issues.



This is a part time role 08:00-15:30 - 3 days a week - Monday, Wednesday and Friday.



WHAT ARE YOU GOING TO DO?



Manage and maintain operational paperwork, ensuring records are accurate and up to date.
Support administration of driver compliance records, including medical questionnaires, training documents, assessments and fuel card allocation.
Monitor outstanding documents, tracking renewals and expiry dates to ensure compliance requirements are met.
Maintain the driver training matrix and coordinate training with the scheduling team and driver trainer.
Support onboarding of new starters and manage Penalty Charge Notices.
Maintain records of driver equipment, issuing items and tracking returns or replacements.
Ensure the driver rota is accurate and up to date, working with scheduling teams to allocate drivers to shifts.
Escalate operational issues to the Operations Manager when required.
Support site opening or closing duties depending on shift requirements.
Ensure all drivers are accounted for at the end of the day and update the following day’s schedule in line with driving hours regulations.
Maintain awareness of Health & Safety requirements relating to vehicle condition and driver hours.
Ensure records are maintained in line with GDPR and confidentiality requirements.
Provide general administrative support to the operation as required.


WHAT ARE WE LOOKING FOR?



Strong administrative and organisational skills.
Experience in logistics, transport administration, or fleet coordination is desirable.
Good understanding of compliance requirements within logistics or transport operations.
Ability to manage multiple priorities in a fast-paced environment.
Strong communication skills with the ability to liaise effectively with drivers, managers, and internal teams.
Good working knowledge of Microsoft Office and operational systems.
High attention to detail and a proactive approach to problem solving.
