Summary
A Vacancy at South London and Maudsley NHS Foundation Trust.
To be a key resource to the Service Director, Directorate Leadership Team and Senior Leadership Group ensuring the delivery of key operational and strategic objectives across the Trust. This will result in the post holder leading and having responsibility for the development and implementation of a wide range of specific functions and enabling governance.
To support the Service Director, DLT and SLG in the management and co-ordination of a range of different work packages, secretariat, engagement and governance to enable to smooth operational running of the trust. Working with a range of stakeholders, both internally and externally, across directorates and boroughs.
To be a key resource to the Senior Management Team; ensuring the delivery of key operational and strategic objectives. This will result in the post holder leading and having responsibility for the development and implementation of specific projects and functions such as the support to the development of the new Pears Maudsley Children and Young People’s Centre.
To provide a fully comprehensive and first-class business administration service to the Service Director as well as secretariat for corporate functions as agreed with the SD’s office. The post holder will deal with a broad range of very complex and sensitive issues and be a key point of contact, dealing with a wide range of staff and patients across the Trust, with external partners, the independent and private sectors.
To be a key resource to the Senior Management Team; ensuring the delivery of key operational and strategic objectives. This will result in the post holder leading and having responsibility for the development and implementation of specific projects and functions such as the support to the development of the new Pears Maudsley Children and Young People’s Centre.
The post holder will be a key point in contact to the Service Director office from a wide range of people both within and outside the organisation. It requires a high level of discretion and the ability to work unsupervised and to take the initiative.
The role may require preparing for and attend senior management meetings, stakeholder meetings, various workshops and sessions, taking notes and following up on actions.
The post holder will act as the first point of call for the Service Director and Senior Leadership Team, prioritising calendar commitments, agreeing to next steps for communication received and building internal and external relationships with stakeholders.

Key Responsibilities:
The post holder will be accountable to the Service Director.
Administration and Executive Assistant Duties
· To be responsible for ensuring the office of the Service Director runs efficiently and effectively. This will include full executive assistant duties to SLG including executive level covering diary management and operations administration; checking and authorising invoices; supporting interface work with other executives and delivery against corporate asks as agreed.
· Ensure all email correspondence and telephone calls both internal and external for the Service Director are responded to, flagged, redirected as appropriate/or messages relayed as required. This includes identifying and working reactively to urgent operational issues and incidents as they arise.
· To handle these telephone and email enquiries, some of which could potentially be sensitive, and liaise with a variety of sources within and outside the Trust on behalf of the Service Director.
· To undertake projects on behalf of the Service Director and SLG when required.
· Facilitate visits from external stakeholders to the Service Director office, and visits by the SD to services and external partners including the Integrated Care Board and Local Authority.
· Organise and attend meetings as required both internally and externally and ensure papers are prepared and circulated in good time. To take accurate minutes.
· Arrange departmental away days, ensuring the appropriate preparation i.e. book venues, organise equipment, order refreshments, reserve accommodation and make travel arrangements.
· Open and screen post and correspondence for the Service Director and SLG which will include generating own correspondence and undertaking intermediary action on behalf of the Chief Operating Office. This includes taking dictation/draft responses to letters and memos.
Governance and Secretariat
· Provide full administrative secretariat functions to Service Meetings which are chaired at executive level. These meetings include: CAMHS Senior Leadership Group, CAMHS Directorate Leadership Team and CAMHS Senior Management Team.
· Produce and circulate agendas (including agreeing agenda with executive chairs), produce meeting pack of papers, take accurate minutes and actions; hold the log and follow up action points for a range of different meetings both internal and external.
· Provide administrative support to work packages related to operational improvement measures in the trust. This includes organising full/half day workshops with internal and external stakeholders, working with the quality centre and the Programme Management Office.
Financial Management
· Manage all financial transactions for the Service Director, working closely with the Finance Business Partner
· Raise purchase orders on eProc, set up suppliers, complete panel processes for payment (including submissions to non-pay panel, non-medical agency panel, Cap-ital Review Group)
· Manage all incoming invoices to the office of the Service Director, checking their accuracy and supporting their smooth payment, resolving queries working with fi-nance business partners and external suppliers
ManagementAccountability
· The Project Co-ordinator and Executive Assistant reports directly to the Service Director and line managers the admin staff supporting the office of the SD. This includes working closely with the other members of the senior management team, executive team, operational directorates admin teams, and the PAs to the wider trust. The post holder will need to engage and interact with senior staff within and outside the Trust, including associated partners and agencies.
· Manage, organize and run all aspects relating to the recruitment of staff to a senior trust level for Service Director, including the completion of forms, advertising vacancies internally and externally and coordinating the interview process.
