The Endoscopy Admin Assistant plays an important role in keeping the patient pathway running smoothly, ensuring waiting lists and pre‑assessment information are managed accurately and in line with Trust and national standards. Using the Patient Information Management System, the post holder keeps all patient records up to date, flags any issues promptly, and supports the Nurse Endoscopists, Surveillance Coordinator, and Consultants with essential administrative tasks. The role involves preparing and sending patient and clinician documentation, coordinating bookings, and maintaining clear communication across the unit to support timely, patient‑focused admissions. As part of the wider Endoscopy team, the post holder also helps implement new guidelines and contributes to meeting service targets by keeping the electronic booking system accurate and current.
Responsible for the booking of patients through the correct pathways depending on the triage of patients. Ensuring patients are booked within breach dates.
Report any potential breaches to the Admin Supervisor/JAG Compliance Manager/Endoscopy Lead Nurse.
To work closely with the Nurse Endoscopists, supporting them with any administration tasks including audio typing and the sending out of Histology results using the Hospitals big hand and ICE system.
To work closely with the Surveillance co-ordinator, supporting them with any administration tasks including audio typing and sending out of letters.
To liaise with GP practices and patients as necessary to obtain all relevant, accurate data if differs from Hospital IPM system.
To take incoming telephone calls ensuring they are dealt with courteously and sensitive manner with due regard to confidentiality. Ensure accurate message taking and information/request are actioned immediately by the appropriate members of staff.
To liaise and negotiate with patients, by phone, booking suitable appointments within the allocated timescale. Making sure all relevant information is sent out within specified timescales. This will involve telephone contact with patients. Incorporating patient call centre approach to managing TCI dates.

Resolve straightforward enquiries from patients. To give advice, reassurance to patients, careers and relatives who have concerns regarding appointment or procedures.
Update IPM with new admission offers, including amendments, removals and suspensions for Endoscopy patients. Entering data onto the Unisoft scheduling system and ensure that it is maintained and kept up to date.
Checking patient information with secretaries and GP’s when necessary to ensure that an outcome is recorded on IPM. Ensuring that all information is accurate and up to date.
Responsibility for liaising with the Endoscopy Team Leaders if a patient needs to come into hospital.
When instructed by Endoscopy Lead Nurse and/or Admin Supervisor, responsible for the rescheduling and moving of clinics. (Moving patient’s appointment due to unforeseen circumstance). If cancelled on the day of clinic, contact patients directly, making sure patients are offered a date within appropriate time frame. Diffuse patient’s response to sudden cancellation in a sympathetic and responsive way.
