We have an exciting opportunity for a Receptionist/Administrator to join our friendly team in our Dorchester Centre.
You will be working with a friendly team to really make a difference to young people.

Main Duties and Responsibilities

Receptionist & Front of House
-Welcome learners, staff and visitors in a professional and friendly manner.
-Ensure safeguarding and visitor sign-in/out procedures are adhered to.
-Answer incoming calls, redirect appropriately and take accurate messages.
-Respond to general enquiries about the organisation.
-Manage voicemail messages and forward promptly.
-Maintain a tidy, safe and welcoming reception area.
-Set up and maintain refreshment areas where required.
-Receive, sort and distribute daily post and courier deliveries.
-Book courier collections and resolve delivery issues where necessary.

Administration Support
-Assist and manage Access to Work applications.
-Maintain accurate records on Management Information System.
-Maintain and update company records and databases as required.
-Liaise with centres managers and head office to provide documentation and files when requested.
-Maintain stationery and office supply levels and place orders as required.
-Order and manage photocopier toner and arrange maintenance or report faults.
-Troubleshoot minor office equipment issues where possible.
-Manage petty cash in line with company procedures.
-Maintain a job/task log for ad hoc administrative requests from the team.
-Ensure accurate and confidential handling of learner and company information in line with GDPR.
-Undertake any other general administrative duties as required by the management team.

Other
-The Employee acknowledges that gardening and animal care duties form an essential part of their role and agrees to carry out such duties as reasonably directed by the Employer.
-All employees need to be prepared to work outdoors in the grounds and with the animals in all weathers and need to bring wear appropriate clothing and footwear.

Person specification:

1. Qualifications & Training
Essential
-GCSEs (or equivalent) in English and Maths (Grade C/4 or above)
-Evidence of good IT literacy (e.g. Microsoft Office / Google Workspace)
-Willingness to undertake safeguarding and relevant compliance training
Desirable
-Level 2 or 3 qualification in Business Administration or Customer Service
-First Aid qualification (or willingness to train)

Safeguarding training
-Training in SEND awareness or autism awareness

2. Experience
Essential
-Experience working in a reception, front-of-house, or administrative role
-Experience handling telephone calls and email enquiries professionally
-Experience working with confidential information
-Experience providing customer service to a range of stakeholders
Desirable
-Experience working in an educational setting
-Experience working with young people or adults with additional needs
-Experience managing visitor signing-in systems and safeguarding procedures

3. Knowledge & Understanding
Essential
-Understanding of professional boundaries and confidentiality (GDPR awareness)
-Awareness of safeguarding principles and the importance of safeguarding in education
-Understanding of equality, diversity and inclusion

-Understanding of SEND (Special Educational Needs and Disabilities)
-Awareness of behaviour support approaches used in specialist settings
