Job Title: Export Sales Administrator
Department: Sales / International Business
Reports To: Export Sales Manager / Sales Head
Overview
The Export Sales Administrator supports international sales operations by coordinating orders, ensuring export compliance, handling documentation, and providing customer service to overseas clients. This role acts as a key link between customers, logistics, finance, and the sales team to ensure smooth export processes.
Key Responsibilities
Order Processing:
Receive, review, and process international customer purchase orders.
Coordinate with production and warehouse teams to ensure product availability and timely dispatch.
Export Documentation:
Prepare and manage all export documents such as invoices, packing lists, COO, BL/AWB, LC documentation, etc.
Ensure compliance with customs regulations and country-specific requirements.
Customer Support:
Communicate with international clients regarding order status, shipment schedules, and product inquiries.
Resolve customer issues professionally and efficiently.
Logistics Coordination:
Liaise with freight forwarders, shipping companies, and transport partners.
Track shipments and update stakeholders.
Sales Support:
Assist the export sales team with quotations, pricing, and sales reports.
Maintain sales records and prepare monthly/quarterly performance summaries.
Compliance & Regulations:
Ensure adherence to export laws, trade compliance, and company policies.
Maintain accurate documentation for audits and inspections.
Internal Coordination:
Work closely with finance for payment follow-ups, LC handling, and invoice clearance.
Coordinate with quality and production teams regarding customer specifications and complaints.
Skills & Qualifications
Strong knowledge of export documentation and shipping procedures
Good communication skills (written & verbal)
Proficiency in MS Office (Excel, Word, ERP systems preferred)
Ability to multitask and work under time pressure
Attention to detail and strong organizational skills
Basic understanding of international trade terms (INCOTERMS)
Experience
1–3 years in export administration, logistics, international sales support, or a similar role.
