About the team:
The School Administration Team plays a central role in ensuring the smooth, efficient, and professional operation of the School. As the backbone of day‑to‑day activity, the team provides high‑quality administrative, organisational, and operational support to staff, students, and senior leadership. Their work underpins the School’s teaching, research, and service commitments, helping create an environment where academic and professional staff can thrive.
About the opportunity:
The School Administrator will provide high‑quality, proactive administrative and secretarial support to the School’s Leadership Team, ensuring the smooth and efficient operation of School activities. The postholder will act as a key point of contact for internal and external stakeholders and will support a wide range of School processes, correspondence, and operational tasks.
Main Duties:
- Provide high-quality and pro-active administrative and secretarial support to the School’s Leadership Team (including the Head of School, Deputy Heads of School and School Manager) including support for meetings, minute-taking, correspondence, travel, bookings and diary management.
- Act as Secretary to School-level committees, including scheduling, collation of papers, preparation of agendas, minute-taking and monitoring/supporting completion of action points where applicable.
- Administer the School’s calendar of events such as seminar series’, workshops and staff training. This includes booking rooms, ordering catering and liaising with external stakeholders as required.
- Act as a key point of contact for external and internal stakeholders wishing to contact the Head of School and Deputy Heads of School.
- Liaise on behalf of the Head of School and Deputy Heads of School with relevant external and internal stakeholders.
- Receive visitors and provide any appropriate hospitality.
- Curate School distribution lists and support School-wide communications (e.g. directing requests to individuals).
- Consider incoming requests, correspondence and other documentation in order to determine significance and plan distribution. Respond / draft responses as appropriate.
- Maintain records and relevant databases of contacts and activities as appropriate.
- Produce, or assist with the production of, correspondence and reports (including manipulation of data) and handle information requests as required.
- Gather information and conduct informal research into varied topics on behalf of Line Manager or the School’s Leadership Team, as appropriate.
- Maintain records of safety assessments for the School.
- Assist with the review, development and implementation of administrative procedures and processes.
- Support the induction of new staff and academic visitors within the School (e.g. in relation to administration systems and procedures).
