Oxford Lifelong Learning in the Department for Continuing Education is seeking to appoint a full-time Receptionist & Course Administrator to provide a high level of customer service and administrative support within the University of Oxford’s Language Centre.
About the role
This is a full-time position, offered on a fixed-term contract for 12 months. The role is based on-site at the Language Centre, 12 Woodstock Road, Oxford, with working hours of 08:30–16:50, due to the customer-facing nature of the post
As a key front-facing member of the team, you will act as the first point of contact for students, staff, tutors, visitors and external clients. You will provide a professional, welcoming and efficient reception service, responding to a wide range of enquiries in person, by telephone and by email.
Alongside reception duties, you will manage bookings for teaching rooms and meeting spaces, acting as the main point of contact for commercial and external users of the building. You will also provide substantive course and administrative support to the Language Centre team, contributing to the effective planning and delivery of language programmes.
This varied role requires excellent judgement, strong organisational skills and the ability to manage competing priorities while maintaining a consistently high standard of customer service.
About you
You will be educated to A level (or equivalent) and have experience of working in a customer-facing or reception environment, along with experience providing administrative support and maintaining accurate records
You will demonstrate:
Excellent customer service skills, with a professional, calm and confident manner
Strong verbal and written communication skills
Good IT skills, including Outlook, Word, Excel and database systems
The ability to work independently, use initiative and exercise sound judgement
Strong organisational skills and the ability to prioritise a varied workload
A flexible and adaptable approach within a busy teaching environment
Experience of working in Higher Education, using web content management systems or financial systems such as Oracle Financials would be advantageous
You will also be willing to undertake First Aid and Fire Warden responsibilities (training will be provided if required)
