Job objectives and responsibilities

Working as a People Support Administrator your role will include:

-Acting as a dedicated point of contact for staff queries on a variety of matters, including but not limited to human resources, payroll and wellbeing queries.

-Scanning and uploading documents to the central people system, ensuring accuracy, security and confidentiality at all times.

-Maintaining a wide variety of databases, such as the sickness absence log, to ensure that all required paperwork is completed in a timely manner and submitted to the relevant reporting bodies.

-Supporting departmental management across HMP Millsike with their recruitment needs, assisting with drafting job descriptions and person specifications, adverts, liaising with external agencies as required and leading on the administration of applicants and their applications.

-Organising the scheduling of assessment centres and interviews for prospective applicants, including booking venues and coordinating resources.

-Liaising with the training team to ensure candidates are being allocated onto the appropriate training courses.

-Liaising with vetting partners to ensure vetting is being actioned in a timely manner and following-up with any queries as required.

-Managing the onboarding process to ensure that offers and contracts of employment are issued within a timely manner following a recruitment campaign.

-Working closely with the People Business Partner to track attrition levels to ensure that the Workforce Planning Committee can plan recruitment and training needs.

-Providing administrative support as required within the establishment such as minute-taking for meetings.

Person Specification

We are looking for motivated, caring individuals who want to be part of our team that will play their part in the Government's drive to cut reoffending through effective rehabilitation; enabling offenders to turn their lives around for good. We will provide a safe, secure environment at HMP Millsike, thus providing reassurance to the public and victims of crime that perpetrators are serving a secure sentence for their crimes.

Essential

-Excellent Communicator, both written and oral

-Attain Enhanced Level 1 Ministry of Justice Vetting Clearance and Enhanced DBS

-Relevant previous experience in an administrative role handling sensitive and confidential information.

-Intermediate or better IT Skills: Proficient and confident using Microsoft Excel, Word, and Outlook.

-Highly organised

-Self-motivated, adaptable, enthusiastic and positive approach.

-Ability to work independently and as part of a team.

-Ability to prioritise, work to deadline and have excellent time management.

-Previous relevant experience within recruitment, human resources or administration.
