Purchasing Assistant Job Description and Person Specification

Overall Purpose of the Role
The Purchasing Assistant is to support the purchasing department within an Analox. The role involves assisting in the purchasing
of goods and services necessary for the company's operations. This will involve coordinating with various internal and external
stakeholders, maintaining records, and ensuring that purchases are made efficiently, cost-effectively, and in compliance with
company policies and procedures.
Main Responsibilities
* Managed vendor relationships by sourcing quotations, negotiating pricing, and general management of the order book.
* Generate and process purchase orders, monitoring order status to ensure accurate and timely delivery of goods and services.
* Assist with inventory management by maintaining accurate stock records, tracking usage, and ensuring optimal inventory levels.
* Ensure all procurement activities complied with company policies, industry standards, and legal requirements, maintaining
complete and accurate documentation.
* Support cost control initiatives by working within budget constraints and identifying cost-effective purchasing alternatives.
* Coordinate with internal departments including finance, operations, logistics and engineering to ensure smooth and efficient
procurement processes.
* Resolve procurement-related issues such as delivery delays, damaged goods, and invoice discrepancies.
* Negotiate supplier agreements to secure competitive pricing and favorable contractual terms.
* Build and maintain strong supplier relationships to encourage long-term partnerships and reliable supply chains.
* Provide administrative support to the purchasing team, including data entry, record-keeping, and filing.

Proactively promote a culture of safety by taking ownership and encouraging others to do the same. Lead by example by consistently
adhering to and championing safety practices and policies. Support 5S initiatives and maintain high housekeeping standards.
Participate in safety audits, incident investigations, and root cause analyses as needed to ensure a safe and organized work
