Summary

About the role
We are looking for a friendly, organised and reliable Finance & Administration Officer to support the smooth running of PCAS. This is a varied and important role at the heart of the organisation, combining finance, payroll, data, administration and team support.
You will play a key part in keeping our systems running well, our records accurate, and our team supported, helping ensure PCAS can focus on delivering high-quality advocacy to the people who need us most.
Key responsibilities
Finance & Payroll
• Manage day-to-day financial administration using Xero (and supporting the transition to our new CRM system, Beacon)
• Process invoices, expenses and payments
• Support payroll administration
• Maintain accurate financial records and reconcile data with accountant reports
• Prepare information for funder reporting and annual accounts
• Create simple Excel spreadsheets and financial summaries as needed
Data, Reporting & Evaluation
• Maintain and develop our data and evaluation systems (currently Excel/Access, moving to CRM)
• Produce clear reports, graphs and evidence for funders and annual reports
• Support the design and upkeep of data collection and evaluation systems
• Ensure client records are accurate, up to date and GDPR compliant


• Manage data retention and secure destruction of records in line with GDPR
Administration & Office Support
• Maintain client lists and provide regular reports to the advocacy team
• Process paperwork submitted by advocates
• Support staff with basic IT and recording systems
• Help prepare and update induction and training materials for new staff
• Support the induction of new team members
• Keep records of staff holidays and key admin information
• Take minutes at Trustee meetings and type them up
• Carry out general office administration including filing, mail merges and document management
• Order office supplies and help keep the office organised and welcoming

• Be a proactive and supportive team member
• Prioritise workload effectively and manage tasks independently
• Contribute to a positive, organised and well-run working environment
About you
We’re looking for someone who is:
• Organised, reliable and detail-focused
• Comfortable with finance admin and confident in payroll processes (charity experience is a bonus, but not essential)
• Confident using Excel and databases/CRM systems (or keen to learn)
• Friendly, helpful and supportive with colleagues
• Able to handle confidential information sensitively and in line with GDPR
• Happy working in a small charity where roles are varied and no two days are the same
