You will provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients. To contribute to the maintenance of patient confidentiality at all times, inside and outside the Practice. Experience of dealing with patients from a wide range of backgrounds and cultures will be needed along with excellent communication and computer skills. Knowledge of SystmOne would be an advantage. To contribute to the smooth running of the reception / admin function in order to provide a first class service to patients and visitors To provide a high quality service to patients, doctors and other members of the Primary Health Care Team. Job Description Your responsibilities include: Providing a high quality, trauma informed reception service in line with Bevan values. Being the first point of contact for patients, ensuring compassion, dignity and respect in every interaction. Handling enquiries calmly and courteously, including when patients are distressed, fearful or frustrated. Supporting inclusion health patients who may struggle to explain symptoms, complete forms, or navigate the healthcare system. Using interpreting services appropriately and recognising when communication support is essential. Supporting clinicians, staff and visiting professionals with administrative tasks. Always protecting patient confidentiality. Helping maintain a safe, calm, welcoming reception area. Supporting the smooth, efficient, and compassionate running of the admin function. Person Specification Qualifications Essential GCSE/O Level (or equivalent) in English & Maths (Grade C/4 or above). Willingness to undertake training in: Trauma informed practice Safeguarding Inclusion Health Reception and administrative development Desirable PRP, NCFE, NVQ or Customer Care qualification. ECDL, ELITE or equivalent IT qualification. Experience Essential Experience in a customer facing or patient facing role. Experience of supporting people from diverse backgrounds and cultures. Evidence of managing challenging, emotional, or sensitive situations with calmness and empathy. Previous administrative or clerical experience. Desirable Experience in a GP practice or other health setting. Experience using TPP SystmOne. Experience supporting vulnerable or socially excluded groups. Knowledge & Skills Essential Ability to communicate calmly, respectfully, and sensitively with distressed or traumatised individuals. Strong interpersonal skills, both facetoface and over the phone. Understanding of, or willingness to learn, trauma informed principles: Safety Trust Choice Collaboration Empowerment Good keyboard and IT skills (Microsoft Office). Ability to remain patient, composed and supportive in highpressure situations. Excellent organisational and timemanagement skills. Desirable Understanding of Data Protection and Information Governance. Understanding of Inclusion Health and the barriers patients face in accessing care. Commitment to social enterprise values and reducing health inequalities. Additional Requirements Essential Emotionally resilient and able to manage exposure to distressing situations. Calm, tactful and diplomatic. Able to work independently and as part of a supportive team. Flexible and positive attitude to changing work demands. Ability to provide reception cover for staff absence (rota basis). Eligible to work in the UK.
