Crynodeb
The role is based at Yard 2, Roberts Lane, Polebrook, PE8 5LS. On occasions, you may be required to work at a different location, for a site visit or pre-event meeting.
ROLE
The main duties and responsibilities of the role are listed below, currently to be carried out in conjunction with existing office staff. Please note these are not exhaustive but highlight the main administrative duties.
GENERAL OFFICE DUTIES
• Dealing with telephone enquiries in a professional manner
• Dealing with and filing emails
• Liaising with clients by email and telephone
• Record keeping and maintaining small databases
• PA Services to the Directors
• Fleet administrator for commercial vehicles
• Ensure H&S policies and PPE is up to date
• Dealing with advertising and promotions
• Keep the online and physical diaries up to date
EVENT BASED DUTIES
• Prepare estimates for events and follow up
• Organise seating plans
• Prepare and schedule invoices for events
• Preparing contracts for events
• Booking hotels for crew
• Hiring forklifts and machinery
• Manage availability of additional crew and their invoices
• Prepare event folders for team leaders
• Keep schedules of transporters and crew
• Co-ordinating seat numbering and aisle lettering
FINANCE
• Reconcile the bank and credit accounts
RECORD KEEPING
• Maintaining excel records
