Crynodeb

The
role will involve supporting a wide range of business administration
activities, including diary and meeting coordination, document management, data
entry, internal communications, and general office administration. You will
also work alongside the HR team when required, providing administrative support
for activities such as recruitment, onboarding, and maintaining accurate staff
records.


You
will work closely with the CEO and senior colleagues, as well as liaising
regularly with teams across the organisation, including managers, staff, and
external partners. The role offers a varied and rewarding experience, giving
you insight into how a charity operates at both an operational and strategic
level.


In

Executive & Administrative Support
·
Provide administrative support to the CEO, including
diary management, scheduling meetings, and preparing agendas
·
Take accurate meeting notes and follow up on actions
·
Manage emails, correspondence, and document filing
(digital and paper)
·
Assist with preparing reports, presentations, and
briefing documents
·
Provide cover for business services inboxes when
required.

Office & Organisational Support
·
Support general office administration and day-to-day
operations
·
Maintain records, databases, and contact lists in line
with data protection requirements
·
Assist with ordering supplies and coordinating office
needs






















·
Support internal communications and coordination
across teams.

HR & People Support (as required)
·
Work alongside the HR team to provide administrative
support for recruitment, onboarding, and employee lifecycle processes
·
Assist with maintaining accurate HR records and
personnel files
·
Support the coordination of training and development
activities when needed
Governance & Organisational Support
·
Provide administrative support/cover for trustee and
board activities, including meeting logistics and documentation
·
Assist with compliance-related administration and
organisational record-keeping

Other

any other duties, which fall broadly within the scope of this role, which is of
a similar level of responsibility.



Essential Criteria

Skills and Abilities


Strong communication skills, both written and verbal.

Good organisational skills with the ability to prioritise workload.

Strong attention to detail and accuracy when handling data and
documentation.

Ability to maintain confidentiality and handle sensitive
information appropriately.

Good IT skills, including confidence using Microsoft Office (Word,
Excel, Outlook).

Ability to follow processes and work methodically.
Knowledge and
Understanding


Basic understanding of business administration and office processes
within an organisation.

Willingness to learn about organisational procedures,
administrative systems, and best practice in business administration.
Experience


Experience in an administrative, customer service, or office
environment (this can include voluntary or school/college experience).

Experience communicating professionally with a range of people.
Personal Qualities

Desirable Criteria





Experience handling confidential or sensitive information in a
professional setting.

Experience using administrative or office-based systems.

Understanding of GDPR and the importance of data protection.

Previous involvement in general administrative tasks, such as
meeting coordination, record-keeping, or document management.

GCSE (or equivalent) passes in English and Maths.

Interest in developing professional skills and learning through
workplace training and development.


Training
You will attend Exeter College one day a week during term time.

Qualifications required
GCSE Maths & English at Grade 4/C required.
