We are seeking a versatile, proactive, and customer‑focused Mail Room Operative to support day‑to‑day operations within a Defence environment. The successful candidate will play a key role in the secure, accurate, and timely handling of all inbound and outbound mail, parcels, and courier items across the site.This role requires a reliable individual capable of working independently and as part of a team, with the professionalism to represent the business effectively in a fast‑paced and customer-facing environment.
Main Responsibilities
Mail Handling & DistributionReceive, sort, and distribute all incoming mail, parcels and packets, ensuring accuracy and timely delivery.Control the receipt of items from Royal Mail and commercial couriers.Collect, sort and bag outgoing mail for Royal Mail Postal Service and the Defence Mail Centre.Deliver mail on foot or by mail buggy/van across the site.Redirect mail as necessary.Log and track special, recorded, and courier deliveries using the systems provided.Process transit mail, including delivery to external areas and tracking signatures.
Security & ComplianceEnsure the physical security of all mail in line with regulations.Protect all personal information handled within the Mail Room (GDPR compliance).Follow security procedures for handling suspect or restricted mail.Report any mail irregularities immediately.Ensure all activities comply with Health & Safety requirements and MOD-specific security practices.
Customer ServiceProvide excellent customer service to all clients, customers, and site personnel.Handle enquiries in person and via telephone professionally and efficiently.Manage customer complaints effectively and escalate where necessary.
Equipment & Workplace StandardsOperate and maintain the franking machine and ensure accurate postage expenditure records.Maintain a clean, tidy, and secure Mail Room at all times.Wear issued company uniform and represent the business to a high standard.
Other DutiesCarry out reasonable ad-hoc tasks as directed by Mitie Line Managers.Support occasional local travel for training or operational needs.
Essential Skills & AttributesReliable, trustworthy, and physically fit to lift/transport sacks and parcels.Strong organisational skills and excellent attention to detail.Ability to work independently and as part of a team.Ability to multitask under pressure and meet tight deadlines.Good interpersonal and communication skills with a customer-focused approach.IT literacy, including Microsoft Office applications.Working knowledge of Health & Safety practices.Full UK / Category B driving licence (essential).Ability to drive a mail (golf) buggy or van.Proactive, adaptable, and able to manage changing priorities.
Desired AttributesKnowledge of MOD postal operations (training can be provided).Experience using franking machines and courier booking systems.Understanding of UK and international postal arrangements.
Additional RequirementsMust meet MOD security vetting requirements and DBS Standard requiredMust provide proof of right to work in the UK.Required to wear issued company uniform.Flexible approach to support operational needs between core service hours.
